Greets visitors, determines the nature of their business, and directs them to the appropriate staff member or department.
Responsible for handling all incoming calls using proper telephone etiquette, transferring calls, forwarding messages, and returning calls as necessary. Responsible for recording payments and preparing daily cash reports of all transactions. Prepares
necessary documentation for court proceedings as needed.
- Complies with Texas state laws, department policies and procedures, and directives, and demonstrates professionalism at all times.
- Maintains a high degree of integrity by keeping confidential information and documentation in the strictest confidence.
- Logs in all visitors in an Excel spreadsheet and prepares this file at the end of each day shift, ready for the next day.
- Receives court dockets, informs the respective secretary, and assists with court paperwork as needed.
- Ensures proper telephone etiquette and follows through with forwarding messages and returning calls.
- Prepares statistical reports as needed by the Management Team.
- Maintains required Excel spreadsheets related to secretarial duties.
- Prepares outgoing mail and correspondence, including e-mail.
- Performs any duties as instructed by the immediate Supervisor and/or CSCD Management.
- Knowledge of county and departmental policies and procedures.
- Knowledge of office procedures and practices.
- Knowledge of computer operations and related software.
- Skill in organizing and prioritizing work efficiently.
- Ability to work effectively and accurately under pressure.
- Ability to communicate orally and in writing in the English language and orally in the Spanish language.
- Ability to type accurately and efficiently.
- Must have a high school diploma or GED from an accredited institution.
- Must be able to type at least 30 words per minute.
- Adjusting or moving objects up to 10 pounds in all directions.
- Driving a County vehicle or a personal vehicle for County business.
- Light work that includes carrying objects up to 20 pounds.
- Remaining in a stationary position, often standing or sitting for prolonged periods.
- Communicating with others to exchange information.
- Repeating motions that may include the use of wrists, hands, and/or fingers.
- Assessing the accuracy, neatness, and thoroughness of the work assigned.
- Sedentary work that primarily involves sitting/standing.
- Must possess a valid and current Texas Driver's License.
- The Webb County Drug and Alcohol Policy applies to this position. Pre-employment drug and alcohol testing, a Motor Vehicle Record (MVR) check, and a criminal background check are required.
- This position is not covered under Civil Service; however, all other Webb County policies apply.
