Job Summary and Qualifications

Responsible for efficiently coordinating the daily operations of the front office and ensuring accurate scheduling for the department and facility.

Essential Job Functions:

  • Maintain personnel diaries and evaluate work performance of staff in a timely manner utilizing positive coaching and team building skills.
  • Coordinate patient flow throughout the facility and maintain awareness of schedule to minimize delays. Maintain communication with scheduling staff throughout the day regarding schedule changes and time status.
  • Remain visible and accessible to incoming visitors at all times and recommend and obtain additional temporary coverage as necessary.
  • Explain paperwork, answer questions, and obtain all appropriate information and signatures. Make copies of all insurance cards and collect co-pays/cost-shares as appropriate.
  • Notify patients of delays in the schedule and approximate wait time. Follow up on all patients who do not show up for their exam.
  • Answer and route phone calls appropriately and in a professional manner.
  • Enter data into the IDX system and accurately indicate add-ons, work-ins, and in-patients in IDX. Document appropriate information on the report-tracking sheet accurately and completely.
  • Annotate all scheduling changes appropriately in the patient’s history notes.
  • Be responsible for enforcing all front Office Policies and Procedures.

  • Immediately report any equipment malfunctions to supervisor.
  • Orient new personnel and assist in their transition to the work environment as assigned.
  • Provide backup assistance to other associates in the department upon completion of duties or as assigned by supervisor.
