Job Description SummaryResponsible for the account as it pertains to the importation of goods. Accounts are handled cradle to grave, from customs clearance to invoicing each shipment. Maintain and develop a positive relationship with assigned accounts through proactive communication and providing timely and accurate information. Compile and prepare commercial regulatory documents for entry processing. Help create customs forms and obtain customs release of shipments.
Coordinate and confirm release and delivery of all cargo.
- Deliver Exceptional Customer Service – Pre‑entry requirements
- Receive shipment notification and verify all charges due by revising the commercial invoice
- Surrender documents and payment to obtain freight release
- Review documents and prioritize entry/entry summary/inbound
- Submit required documents to customs
- Assure documents in Mexico are prepared
- Work with carrier to assure clearance of shipment
- Prepare work orders for distribution department
- Prepare Bill of Lading and support operations as needed
- Prepare post‑entry documents and file for billing
- Ensure customer profiles are updated and current for assigned accounts
- Secure necessary documents from the shipper
- Prepare necessary documents required for importation
- Enter or cancel inbound as required (7501, 3461/7501)
- Provide required documents to government agencies per request
- Coordinate with Mexican broker and transfer company for clearance
- Report discrepancies such as non‑arrival in a timely manner
- File entries, entry summaries, and inbounds timely with no errors
- Scan pertinent documents of the entry
- Process the entry summary within 24‑48 hours
- Provide information as set forth in the customer’s contract
- Track shipments/entries for customs clearance and/or delivery in the US
- Report discrepancies such as non‑arrival promptly
- File entries and summaries promptly and accurately
- Scan pertinent documents of the entry
- Prepare work order with instructions as required
- Prepare a bill of lading for delivery if necessary with special instructions
- Invoice the entry within 24‑48 hours after customs clearance
- Include all applicable fees, avoiding additional invoices if not allowed
- Pass the file immediately to continue the flow and mail invoice timely
High school diploma or G.E.D. preferred but not required. At least one year of related experience and/or training preferred. A bachelor’s degree is preferred, but candidates with equivalent professional work experience, especially in customer service, will be considered.
License and CertificationsBrokerage License preferred.
Knowledge, Skills, and Abilities- Excellent verbal and written communication skills in English and Spanish
- Proficient with word processing, spreadsheets, Windows, email, and other PC software
- Willingness to learn and develop industry skills
- Attention to detail and ability to read and interpret documents
- Ability to take and follow directions from supervisor
- Ability to perform other duties as assigned
- Telephone courtesy in all communications
- Planning and organizational skills
- Technological proficiency with computers and various software programs
- Ability to maintain positive relationships with coworkers and contacts
- Compliance with all policies and procedures
Work inside an office, a light traveling of up to 15 pounds, simple grasping, standing, sitting, walking. Work involves rotating shifts, extended workdays, on‑call status, and light lifting under 24 pounds.
