JOB DESCRIPTION SUMMARYResponsible for the account as it pertains to the importation of the goods. The accounts are handled cradle to grave, from customs clearance to invoicing each shipment. Maintain and develop a positive relationship with assigned accounts through pro‑active communication and providing timely and accurate information. Compile and prepare commercial regulatory document(s) for entry processing, help create Customs forms, and obtain Customs release of shipments.
Coordinate and confirm release and delivery of all cargo.

ESSENTIAL JOB FUNCTIONS Deliver Exceptional Customer Service- Pre‑entry requirements
- Receive shipment notification
- Verify all charges due by revising the commercial invoice
- Surrender documents and payment to obtain freight release
- Review documents and prioritize
- Create entry/entry summary/inbound
- Submit required documents to customs
- Assure documents in Mexico are prepared
- Work with carrier to assure clearance of shipment
- Prepare work orders for the distribution department
- Prepare bills of lading
- Support the operations where needed
- Prepare post‑entry documents
- Prepare file for billing
- Ensure customer profiles are updated and current for assigned accounts
Before Customs Clearance
- Secure the necessary documents from the shipper
- Prepare the necessary importation documents
- Entries may require canceling an inbound with a 7501, issuing an inbound or issuing a 3461/7501 or other required CBP documents
- Provide necessary documents to the requested government agencies
- Coordinate with the Mexican broker and transfer company for clearance
- Report discrepancies such as non‑arrivals in a timely manner
- Assure entries, entry summaries, and/inbounds are filed timely with no errors
- Scan pertinent entry documents
- Process the entry summary within 24–48 hours after clearance
- Provide information as set forth in the customer’s contract
- Track shipments/entries for clearance and/or delivery in the U.S. side. Includes local carrier yard and/or destination deliveries
- Report discrepancies such as non‑arrival in a timely manner
- Assure entries, entry summaries, and/inbounds are filed timely with no errors
- Scan pertinent entry documents
Before Entering the Warehouse
- Prepare the work order with required instructions
- Prepare a bill of lading for delivery of goods if necessary, with special instructions or attaching copies of documents as agreed with the customer
- Invoice the entry within 24–48 hours after customs clearance
- Ensure invoiced fees are applicable and include any services not in the fee schedule per the customer’s contract
- Invoice all services in the original invoice
- Avoid additional invoices where customers disallow them
- Pass the file immediately to continue the file flow
- Mail the invoice in a timely manner; this is the most vital step
- Customs – prepare and issue documents and transmit accurate information to CBP
- Distribution – fill orders and maintain inventory
- Logistics – prepare and issue documents for delivery of goods when applicable
- Accounting – accurately invoice services provided
High school diploma or G.E.D. preferred but not required. At least one year of related experience and/or training is preferred; candidates with relevant experience will also be considered.
