Job Summary

We are seeking a reliable and organized front office person to join our team. High volume incoming and outgoing calls; this role is essential to our daily operations and customer satisfaction. The ideal candidate will coordinate service calls, support technicians, communicate with customers, and assist with additional responsibilities as needed to support overall company operations. This is a full‑time, in‑person position for someone who thrives in a fast‑paced environment.

Key Responsibilities Dispatch & Scheduling
  • Coordinate and dispatch HVAC service technicians and installers efficiently
  • Schedule service calls, maintenance appointments, and installation jobs
  • Monitor technician progress throughout the day and adjust schedules as needed
  • Optimize routes to improve efficiency and reduce drive time
  • Answer incoming calls promptly and professionally
  • Set clear expectations for arrival times, and next steps
  • Serve as the main point of contact for technicians and customers
  • Relay job details, notes, and special instructions clearly to technicians

    Communicate delays, updates, and follow‑ups proactively
Administrative & Detail‑Oriented Tasks
  • Accurately enter and update job details, customer and contact information
  • Review completed job notes, photos, and complete job close‑outs procedures
  • Maintain organized records, notes and daily logs
  • Assist with outgoing calls to schedule maintenance customers
  • Assist with mechanical permits and scheduling final inspections
  • Share in rotation of after‑hours on‑call phone (weekly rotation)
Qualifications & Skills
  • Previous dispatching, HVAC, or service industry experience preferred (but not required)
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Comfortable using scheduling software, phones, and basic computer systems
  • Ability to stay calm and professional in a fast‑paced environment
  • Reliable, punctual, and team‑oriented
