A medical receptionist serves as the face of the office. He or she is responsible for handling administrative and clerical duties, such as answering the phone, greeting patients, scheduling appointments, and more. The front office must run like a well‑oiled machine, and the following essential duties are required.

Main Job Tasks, Duties, and Responsibilities
  • Perform all duties in a way that complies with state, local, and federal laws and regulations, in particular those that relate to patient confidentiality
  • Answer telephone, screen and direct calls
  • Take and relay messages
  • Provide information to callers
  • Direct persons to correct destination
  • Deal with queries from the public and customers
  • Ensure knowledge of staff movements in and out of the organization
  • Monitor visitor access and maintain security awareness
  • Provide general administrative and clerical support
  • Prepare correspondence and documents
  • Maintain appointment diary either manually or electronically
  • Respond to inquiries from prospects and existing patients, as well as visitors and callers, in a prompt, courteous, and accurate manner
Additional Responsibilities
  • Communication skills to converse clearly over the telephone and in person
  • Monitor and maintain office equipment
  • Control inventory relevant to the reception area
  • Organization and time management managing a variety of tasks effectively
Education and Experience
  • A high school diploma is generally required
  • Knowledge of administrative and clerical procedures
  • Knowledge of computers and relevant software applications
  • Knowledge of customer service principles and practices
