The Patient Care Concierge is the first point of contact for patients at Claremedica and a key member of our healthcare team. This role serves as a patient advocate, providing exceptional customer service and coordinating care. Responsibilities include managing patient interactions, ensuring smooth operation of the front office, greeting and assisting patients, scheduling appointments, checking patients in and out, managing patient records and phone calls, and coordinating with medical staff to deliver excellent patient care.
EssentialFunctions
The Patient Care Concierge plays a pivotal role in front‑office operations, ensuring that patients feel supported and that administrative processes run efficiently.
Duties and Responsibilities- Interact with patients and visitors in a polite and friendly manner.
- Enthusiastically greet every guest that enters the center.
- Prepare new patient registration, check‑in, and check‑out.
- Answer all phone calls professionally and courteously, taking detailed and accurate messages.
- Maintain and organize the provider’s schedule by scheduling, rescheduling, and confirming appointments.
- Verify patient demographic data and collect insurance information, copays, and any outstanding balances before visits.
- Verify that each patient is scheduled for the proper appointment type.
- Run end‑of‑day financial reconciliation report and provide it to leadership.
- Send detailed telephone encounters to the corresponding parties.
- Scan all necessary documents into the EMR system.
- Monitor and process incoming faxes.
- Restock office supplies and maintain inventory log.
- Maintain cleanliness of the front office and lobby area.
- Maintain confidentiality of patients’ personal information and medical records.
- Participate in daily and weekly huddles.
- Present patients with customer service surveys during check out and, if necessary, facilitate immediate service recovery.
- Perform other duties as assigned or modified at management’s discretion.
- High School Diploma, GED, or equivalent.
- Minimum of 1 year of work experience in a medical clinic or prior customer service experience.
- Basic Life Support (BLS) certification preferred.
- Exceptional oral and written communication, time‑management, and organizational skills.
- Professional and courteous communication with employees, patients, and others.
- Mindset focused on resolving problems for patients and achieving team goals.
