About the PositionWe are an established construction company in Larkspur, CA seeking a highly organized, dependable, and proactive
Part-Time Office Manager
to oversee the day-to-day administrative and accounting functions of our office.
This is an important role in a small, busy construction environment. The ideal candidate is comfortable working independently, managing multiple priorities, communicating with clients, subcontractors, vendors, and employees, and making sure the administrative side of the business stays organized and on track.
Construction industry experience is a must, looking for someone who is capable, detail-oriented, resourceful, and takes ownership of their work.
Responsibilities- Manage general office operations, correspondence, filing, and recordkeeping
- Answer and direct phone calls and emails in a professional and timely manner
- Maintain project, client, subcontractor, vendor, and employee documentation
- Assist with accounts payable and accounts receivable, including processing invoices and tracking payments
- Coordinate with our accounting team and help maintain accurate financial records
- Collect and maintain subcontractor insurance certificates, W-9s, contracts, and other required documentation
- Assist with contracts, change orders, purchase orders, and project-related paperwork
- Track permits, licenses, insurance documents, and other compliance requirements
- Maintain employee records, timekeeping information, and payroll-related documentation
- Communicate with project managers, field personnel, subcontractors, vendors, and clients
- Order office and project supplies as needed
- Maintain calendars, appointments, meetings, and important project or administrative deadlines
- Help improve and maintain office systems and procedures
- Handle confidential company, employee, and client information with discretion
- Provide general administrative support to company ownership and project management staff
- Previous office management, administrative, bookkeeping, or operations experience
- Excellent organizational skills and strong attention to detail
- Ability to prioritize tasks and manage multiple deadlines
- Strong written and verbal communication skills
- Comfortable working independently and taking initiative
- Professional, dependable, and trustworthy
- Proficiency with Microsoft Office and/or Google Workspace
- Experience with Quick Books or similar accounting software preferred
- Construction, general contracting, architecture, engineering, or related industry experience is highly desirable
- Familiarity with construction documents, subcontractors, insurance certificates, lien releases, contracts, or permitting is a plus
We are looking for someone who enjoys bringing organization to a busy environment and who sees what needs to be done without always needing to be asked. The right person will be comfortable shifting between bookkeeping, paperwork, phone calls, project administration, and the unexpected issues that naturally come up in a construction business.
Reliability, good judgment, attention to detail, and a positive, professional attitude are essential.
