Job Description PURPOSE SUMMARY

Provide administrative support for Sheriffs Office Records functions, internal and external customer service requests, and information management.

ESSENTIAL DUTIES

1. Administrative Support. Tasks include, but are limited to:

  • Organize, prepare, maintain and disseminate records collected in the course of law enforcement activities according to state, federal, and DASO procedures.
  • Greet visitors, on the telephone or in person, and provide accurate information, appropriate services, or direct them to appropriate resources.
  • Responsible for assisting public with report disseminations, procedural help and advice, and visitor notifications.
  • Answers incoming calls, transfer calls, take and deliver messages, and provide procedural assistance to callers.
  • Responsible for cash handling duties to include daily cash box balancing and accounting of receipts from transactions and assistance with the deposit of funds.
  • Transcription duties to include accurately entering data from recorded reports, supplements, and statements into Records Management Database or standard statement format.
  • Organize paperwork for reports, proofread and make corrections as needed.
  • Maintain accurate digital and paper records and files that permit timely retrieval.
  • Assists with researching programs for the Records Department.

2. If assigned to DWI, duties may include but are not limited to:

  • Record, maintain, and process the DWI Citations, Notice of Revocations, DWI Verifications, DWI Packets, Blood Draw Data, and BAC to the appropriate source(s).
  • Record, process and verify crash reports to ensure data is accurate and submit the reports to the appropriate source(s).
  • Record and process electronic and/or handwritten citations issued by County law enforcement personnel and Animal Control/Codes. Submit a citations report and felony notifications to the appropriate source(s).
  • Acts as the central point of contact for technical assistance for the Law Enforcement laptops and video system issues that may occur with uploading, viewing, or burning videos and troubleshooting the Records system. Coordinates resolution response between internal IT department and appropriate parties that may occur in higher level troubleshooting.
  • Assist with classification, assigning videos to the appropriate user as needed, and copying videos from patrol units as needed with the video system and provide to the appropriate source(s).
  • Assist in researching and gathering documentation for Inspection of Public Records Act (IPRA) requests.
  • Assist with training personnel on the Record systems.
  • Assist with the NIBRS/Merge reporting when needed.

3. If assigned to NIBRS/Merge Reporting, duties may include but are not limited to:

  • Works closely with law enforcement personnel in maintaining accurate data for the Incident Base Reporting (I ) and initial NIBRS Reporting that includes but not limited to the Supplement and Arrest reports and ensures all reports meet department, NIBRS, and FBI standards.
  • Process and merge the initial NIBRS and supplement reports in the Law Enforcement Records Management System (LERMS).
  • Compile and submit the crime statistics for Uniform Crime Report/National Incident Based Reporting (NIBRS) to the appropriate source(s).
  • Generate custom crime reports that include statistic data, historical analysis and crime mapping as needed.
  • Assist in researching and gathering documentation for Inspection of Public Records Act (IPRA) requests.
  • Assist with training personnel on the Record systems and NIBRS/Merge reporting when needed.
ADDITIONAL DUTIES

Other related duties as assigned. This may include assisting law enforcement as a Spanish translator.
