This position manages the athlete immigration process for assigned US and International events. The Global Immigration Specialist is additionally responsible for maintaining and updating both hard copy and electronic immigration files for all athletes as per established guidelines.
Essential Functions- Reviews upcoming fight cards to determine immigration and Visa needs for athletes, staff and contractors. Performs research as necessary to determine country-specific Visa requirements.
- Collects all relevant information needed for Visa process, including but not limited to completed immigration questionnaire, passport copy, digital passport photo and copies of promotional agreements and relevant documents from the Legal department.
- Prepares all relevant immigration documents and submits to the appropriate agency, tracking progress of the petition filing process through the online system, and confirming receipt of original petition approval notice.
- Schedules consulate interviews for US events and ensures all documents are received by the athlete prior to the interviews. Collects, organizes and prepares Visa applications for assigned international events.
- Follows up with athlete/manager after consulate interview for outcome and confirms return of passports.
- Provides internal updates on the status of Visa processing. Keeps all relevant stakeholders informed of any delays in the Visa process.
- Reports any concerns regarding the Visa process to the Director, Global Compliance immediately.
- Ensures all applicable databases are up-to-date and complete and accurate for all contracted athletes.
- Updates and maintains all hard copy immigration files per established guidelines.
- Performs other tasks, projects, and responsibilities as assigned.
- High school diploma or GED.
- 3 - 5 years of experience working as a Paralegal, Legal Assistant, or similar background.
- Availability to work nights, weekends, and holidays as necessary.
- Extremely organized and detail-oriented.
- Ability to establish and maintain effective internal and external working relationships.
- Ability to communicate effectively, orally and in writing, with individuals in all levels of the organization.
- Ability to maintain discretion and confidential information.
- Ability to prioritize and multi-task, and handle various competing activities and interests simultaneously.
- Ability to use critical thinking in order to anticipate issues and problem solve.
- Ability to work well under pressure in a high stress environment, with tight deadlines.
- Ability to speak, write and read a second language is a plus.
- Intermediate skills with Microsoft Excel, basic level skills with Microsoft Word and Outlook, and the ability to learn other basic computer programs.
