Position OverviewPegasus Development is hiring a high-trust Executive Assistant who will function as the CEO’s primary day-to-day operator. The intent of this role is to offload the CEO’s administrative workload end-to-end, protect executive time, and drive task closure with minimal friction.
This position owns executive administration including calendar governance, travel logistics, meeting coordination, and follow-through tracking. The role also supports Las Vegas headquarters office coordination and requires the ability to run time-sensitive errands and logistics for the CEO and, occasionally, for the CEO’s spouse, with discretion and professional judgment.
Operating Guardrail:
Personal and spouse-related support is limited, reasonable, and pre-approved, and will not materially interfere with business-critical responsibilities.
- Own the CEO’s calendar end-to-end, including prioritization, time-blocking, sequencing, conflict resolution, and time-zone coordination.
- Gatekeep meeting requests and enforce meeting standards, including clear purpose, correct attendees, and defined outcomes.
- Prepare daily briefs and weekly look-aheads highlighting priorities, deadlines, travel, and open items.
- Maintain contact lists, stakeholder information, and recurring touchpoints to support relationship management.
- Coordinate periodic travel to Sacramento and New York, including flights, hotels, ground transportation, itineraries, and meeting stacks.
- Anticipate contingencies, monitor changes, and re-plan logistics in real time to preserve continuity.
- Maintain a standardized travel system, including profiles, preferences, and itinerary documentation.
- Prepare agendas, pre-reads, and briefing notes; ensure inputs are collected and distributed on time.
- Attend selected meetings to capture decisions, action items, owners, and due dates; distribute notes when required.
- Maintain an action-item tracker and drive closure through reminders, escalation of blockers, and next-step recommendations.
- Manage routine office operations: supplies, mail, shipping, deliveries, printing, light vendor coordination, and basic reception coverage as needed.
- Coordinate office services and vendors, including scheduling and follow-up to resolution.
- Support internal logistics such as document scanning/printing, package handling, and meeting room readiness.
- Execute time-sensitive errands and logistics for the CEO, including pickups, drop-offs, deliveries, vendor interfacing, and local coordination.
- Provide limited, pre-approved support for the CEO’s spouse as needed (for example, scheduling coordination, reservations, time-sensitive local tasks).
- Operate with discretion and sound judgment; maintain confidentiality and professional standards at all times.
- Provide status updates and completion confirmation with supporting details (receipts, confirmations, tracking numbers) as appropriate.
- Support expense reporting, receipts, reimbursements, and light invoice coordination in partnership with finance/accounting.
- Coordinate signature routing, document assembly, scanning, printing, and submission packages.
- Maintain simple trackers for recurring administrative workflows to ensure deadlines and obligations are met.
- 5+ years of experience supporting a senior executive (CEO/President/Principal preferred).
- Strong capability managing complex calendars, travel, and shifting priorities across multiple stakeholders and time zones.
- High discretion, strong judgment, and demonstrated experience handling confidential and sensitive matters.
