This is not an entry‑level receptionist position.
The Office Operations Coordinator serves as the operational right hand to leadership. This role is responsible for maintaining structure across calendars, communication systems, billing processes, and internal documentation.
The right candidate is proactive, detail‑oriented, and capable of prioritizing independently. If you require constant direction or prefer a slow‑paced environment, this role will not be a fit.
This is a full‑time, in‑person position, Monday through Friday.
Responsibilities- Manage and maintain executive and shared calendars
- Schedule, confirm, and coordinate meetings and appointments
- Respond to calls, voicemails, and emails promptly and professionally
- Maintain accurate records across internal systems
- Enter billing data, reconcile invoices, and track payments
- Organize and maintain digital and physical filing systems
- Track and restock office and field inventory
- Support licensing, compliance documentation, HR records, and event coordination
- Maintain confidentiality and professionalism at all times
- You will work within multiple operational platforms including CRM systems, scheduling tools, Outlook, and internal tracking software.
- Minimum 2–3 years of administrative, executive assistant, or operations support experience
- Demonstrated experience managing calendars and coordinating schedules
- Experience working within CRM or operational systems
- Strong written communication skills
- Ability to manage competing priorities independently
- High attention to detail and strong follow‑through
- Professional, reliable, and discreet
