POSITION OVERVIEW
The Banquet Set Up Administrative Assistant will perform administrative duties related to the operations of the Banquets Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following and other duties may be assigned as necessary:
- Assist the Banquets departments in all aspects of the office
- Provide support for setting up meetings, which may include but is not limited to, coordinating meetings, taking meeting minutes, scheduling conference rooms, setting up conference calls and obtaining audio/visual equipment and refreshments
- Assist on the floor with convention clients and Member requests
- Maintain and order office supplies as needed;
Handle the Banquets supply account as well as invoices and purchase requests - Create and post all food sign and meeting signs for all Banquet events
- Ensure the maintenance of files, correspondence, and records in the department, typing and filing using computer systems
- Input and monitor all schedule shift requests, leaves, early outs, and call outs
- Perform telephone duties which require making and answering phone calls, messages, forwarding calls to appropriate people, assisting callers in resolving questions, using standards of service and being proactive with learned information
- Receive and distribute office mail and maintain Fed Ex account
- Ensure all Member work cards are up-to-date and verified
- Makes photocopies, faxes, and emails documents as needed
- Schedule and organize appointments for the Banquets Department
- Conduct research, preparing statistical reports, handle information requests, and perform administrative tasks to include projects and initiatives
- Assist the Banquets Department in carrying out various programs and procedures for all Members
- Ensure all guest facing areas of the office are kept clean and well maintained
- Make travel and room arrangements as needed
- Oversee and maintain the departments Evacuation Plan
- Oversee and manage the creating and updating of department SOP's
- Responsible for complying with Title 26 policies and procedures as well as completing all assigned/required modules in a timely manner
- Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary
QUALIFICATION REQUIREMENTS

- High school diploma or equivalent required
- Two (2) years of administrative assistant experience preferred
- Must have health department, OSHA, and Clark County Fire Department knowledge
- Know of CBA’s preferred
- Excellent organizational skills and attention to detail
- Extensive knowledge of office management systems and procedures
- Ability to operate general office equipment
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite or similar software
- Ability to maintain confidential information
- Telephone etiquette skills needed and comfortable with interaction with many people
- Ability to follow written and/or verbal instructions
- Must be willing and able to work a flexible schedule to include holidays, nights, and weekends
- Work in a fast-paced, busy, and somewhat stressful environment
SUPERVISORY RESPONSIBILITIES
This position does not have any supervisory responsibilities.

CERTIFICATES, LICENSES, REGISTRATIONS
Member must be able to qualify for licenses and permits required by federal, state, and local regulations.
LANGUAGE SKILLS
Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.
REASONING ABILITY
Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
