ESSENTIAL FUNCTIONS Executive & Office Support
- Serves as central point of contact for general administrative inquiries and daily office operations. Serves as the receptionist answering phone calls, handling mail and deliveries, making bank deposits, making deliveries or pickups from stakeholders and monitoring the info email ensuring timely responses.
- Provide executive scheduling support for meetings, site visits, and planning meetings with many stakeholders. This includes assisting with agendas and minutes for regularly held organizational and operational meetings and ensuring notes and follow up action items are documented and supported. Manage complex calendars and coordination across internal and external stakeholders.
- Supports the CEO with administrative responsibilities related to development activities including weekly donor thank you letters, handwritten notes and scheduling donor touchpoints such as meetings and calls.
- Oversee office management, including supplies, vendor coordination, and technology needs. Maintains inventory at the office ensuring necessary materials are on hand. Serves as the liaison between the property management company and the organization ensuring maintenance issues are addressed.

- Assist with event logistics, including donor visits, site tours, and small gatherings. This includes purchasing refreshments as needed or making reservations, ensuring campus and community experience center fridges are stocked, taking and tracking RSVPs for events, assisting with technology at events and preparing materials and sites for events to maintain organizational reputation and standard.
- Serves as the administrative liaison for the Board of Directors and works with the CEO and Board Chair to schedule annual board meetings, maintains board contact information and maintains relationships with EAs to ensure timely responses.
- Updates the digital Board Book as needed to ensure board members have access to only the updated materials.
- Attends and prepares materials for board meetings including taking minutes and obtaining legal review, working with the CEO to finalize the agenda, preparing board materials and ensuring RSVP, ensuring appropriate virtual settings and AV, assisting the CEO with board presentations, sending follow up materials and ensuring all executives are provided information and support on follow up tasks.
- Prepares materials for finance and audit committee meetings, works with the Controller to finalize the agenda, preparing materials as needed, and sending follow up materials to the committee.
- Support the development and distribution of Campus for Hope’s quarterly and monthly newsletters to stakeholders, ensuring timely delivery and accurate content coordination across departments.
- Support preparation of presentations, meeting notes, and internal communications.
- Maintain and update donor materials, presentations, and proposals.
- Support internal policy documentation and organizational record keeping.
- Manage donor and prospect information in the organization’s CRM/database.
- Ensure data accuracy, generate reports, and track gift history and interactions.
- Support administrative tasks related to Requests for Proposals (RFPs), including tracking deadlines, compiling attachments, scheduling site visits and/or clarification meetings and maintaining submission calendars.
- Assist in organizing and formatting proposal documents and reports and following up with evaluators to ensure timely evaluations of RFP submissions
- Supports the VP of Community Relations and Strategic Partnerships as needed with other RFP responsibilities.
- Education:
Bachelor’s degree or equivalent experience in nonprofit management, communications, public administration, or related field. - 2+ years of experience in administrative, development, or operations support (nonprofit preferred).
- Experience working closely with executive leadership and/or managing high-level relationships or projects. Experience supporting or coordinating nonprofit boards and governance processes.
- Exceptional written, verbal, and interpersonal communication skills.
- Experience with donor databases or CRM systems (e.g., Salesforce, Bloomerang, or similar).
- Ability to manage multiple projects and deadlines in a fast-paced environment, with keen attention to detail.
- Ability to work independently and in a start-up environment.
