Administrative Assistant IV, Brain Health Department, Kirk Kerkorian School of Medicine

Position supported as a highly organized and detail‑oriented individual, responsible for managing daily operations, coordinating with faculty, staff, and students, and ensuring smooth workflows across the department.

Responsibilities
  • Maintain departmental records and coordinate schedules and travel arrangements.
  • Serve as the primary point of contact for internal and external stakeholders.
  • Manage office procurement, equipment inventory, and key control systems.
  • Process travel authorizations, expense reports, honorarium payments, and reconcile transactions.
  • Oversee departmental budgets, including grants and self‑supporting accounts, and prepare monthly financial reports for the Chair.
  • Collaborate with the Dean’s Office and university financial teams to track budgets and align with institutional guidelines.
  • Support human capital management activities, including onboarding of faculty, staff, and students, and coordinating recruitment and hiring processes.
  • Assist with compliance with HR policies, prepare grant budgets, and support faculty research initiatives.
  • Plan and execute department events such as orientations, graduations, and research meetings.
  • Participate in process improvement initiatives and special projects as assigned.
Minimum Qualifications
  • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience, including: providing administrative/program support to professional staff and management; performing secretarial duties; coordinating communications between staff and program clientele; supervising subordinate staff; researching information from internal and external sources; OR one year as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience.

Salary

Grade 29 Step 1, salary $50,153.76.
