Job Overview

The Administrative Assistant provides high‑touch support to the campus’s administrators including the Campus President, Dean of Nursing (DON), and the Dean of General Education (DOGE).

Responsibilities
  • Serve as the initial point of contact for calls/visitors to the campus.
  • Manage and maintain administrators’ schedules; coordinate appointments, meetings, send out meeting notices, and maintain the campus calendar and testing calendar.
  • Attend curriculum, faculty, and other meetings as requested and take meeting minutes.
  • Perform general clerical duties such as organizing, filing, shredding, and photocopying documents; maintain office files, student files, and other appropriate records; order office and medical supplies, and faculty desk copies.
  • Maintain confidential files and process related documents, including payroll records; assist in faculty certification procedures; direct work of clerical staff and student workers.
  • Proofread documents, analyze data, and prepare correspondence.
  • Provide high‑level administrative support by conducting research, handling information requests, and preparing statistical reports, expense reports, purchase orders, memos, letters, and other documents using Word, spreadsheet, database, or presentation software.
  • Prepare and process Education Affiliation Agreements, documentation for clinical facility sites, and monitor their currency.
  • Complete weekly data entry and compile reports for student clinical hours.
  • Schedule/proctor exams as required.
  • Create and edit campus documents for state regulation, student and faculty handbooks, expense reports, various student letters, and financial reports as needed.
  • Create student orientation packets.
  • Maintain records of Assessment Technologies Institute (ATI) test results for all cohorts.
  • Complete and distribute electronic end‑of‑semester student evaluations.
  • Facilitate special event planning, arrange catering services, and make travel arrangements. Organize conferences, workshops, meetings, commencements; maintain liaison relationships with other administrators and external organizations of the campus administrators.
Faculty Onboarding
  • Prepare and process onboarding documentation (offer letter, change of status) for new full‑time and adjunct faculty for General Education and Core Nursing.
  • Prepare biweekly timesheets for adjunct faculty sent to Human Resources.
  • Monitor all health and safety items to ensure completion and maintenance; serve as department facilities representative (i.e., badging, office space set‑up, IT, scrubs).
Qualifications
  • Degree preferred.
  • A minimum of two (2) years of administrative‑level support experience, preferably in higher education.
  • Strong organizational, writing, and interpersonal skills.
  • Attention to detail.
  • Exceptional degree of professionalism and discretion in handling confidential information and highly sensitive matters.
