Supports Reliability capital maintenance and system improvement projects by managing permitting, invoicing, and contractor coordination activities. This role is responsible for processing emergency retrench invoices, creating purchase order (PO) requisitions, and obtaining required construction and Traffic Control Plan (TCP) permits from applicable government entities. This position establishes and maintains project-specific relationships with government entities, trenching and barricade contractors, ensures timely permit renewals, and tracks all permits associated with Reliability projects, including emergency and planned retrench, cable replacements, and overhead rebuilds.
The role requires a strong understanding of permitting requirements across various jurisdictions. The Administrator works under the general direction of program project managers and the Manager of Reliability Programs (South).
Responsibilities:
- Maintain a comprehensive working knowledge of permitting requirements across all applicable government entities.
- Prepare, submit, and track permit applications, ensuring accuracy and compliance.
- Monitor permit expiration dates and proactively coordinate permit and TCP renewals.
- Compile and present complete permit packages to appropriate government agencies.
- Process and audit invoices from barricade and trenching contractors for accuracy and completeness.
- Coordinate with project managers to obtain invoice approvals and appropriate POET coding.
- Create and process purchase order requisitions in Oracle Fusion to support timely payment.
- Communicate with vendors regarding invoice discrepancies, corrections, and payment status.
- Track and manage a high volume of permits and invoices with a high degree of accuracy and timeliness.
- Participate in overtime as needed to support operational requirements.
