The Family Impact Manager (FIM) position will ensure an excellent experience for families while engaging with Democracy Prep at the Agassi Campus (DPAC.) Working in partnership with school leadership, the FIM will ensure each interaction and touchpoint with a DPAC staff member upholds our commitment to providing the best service to all families and community stakeholders.
The FIM role will play an integral part in the family engagement at Democracy Prep by owning and completing a variety of organizational, administrative and professional duties to support our families. Additionally, the FIM will support DPAC operations in streamlining the daily functioning of all operations on campus. As part of the Operations Team at school, the FIM plays a pivotal role in helping to ensure systems are in place for the school day to run smoothly.
Essential Duties and Responsibilities
Family Engagement & Community Partnership- Collaborate with the Executive Director and Director of Operations to create opportunities for families to feel welcomed, connected, and engaged in the school community.
- Leverage existing school events and initiatives to maximize family participation and engagement.
- Coordinate and manage family-facing events and initiatives, including but not limited to:
- Campus open houses
- Family Leadership Council meetings
- Family engagement events and activities
- Design and distribute flyers and other communication materials to support school initiatives and events.
- In coordination with the Executive Director and Director of Operations, develop and execute an efficient enrollment and registration plan.
- Notify lottery applicants of enrollment status in a timely and professional manner.
- Manage waitlists throughout the enrollment season, including ongoing phone and email communication with prospective families.
- Support enrollment management and family follow-up processes.
- Maintain accurate and organized student records and file management systems.
- Process and coordinate school s for all scholars.
- Provide administrative and operational support to campus-based personnel.
- Serve as a front desk receptionist by welcoming visitors, answering phone calls, and assisting families and guests.
- Assist with logistics planning for:
- Field trips
- School events
- Family engagement activities
- Support early pick-up procedures for scholars.
- Monitor and support elementary scholar tardy procedures.
- Assist with day-to-day operational tasks to ensure smooth campus operations.
- Complete additional duties as assigned by the Director of Operations.
Requirements
- Spanish/English Bilingual (Preferred)
- Bachelor's degree (Preferred)
- Basic google suites skills
- Extreme comfort speaking with new people on the phone or in-person
- Humility and excitement in making schools an inviting and supportive space for Democracy Prep families
- Advanced proficiency in Spanish communication preferred
