Position Summary
This position provides all aspects of direct support/assistance to the Global Immigration team.
Responsibilities- Work with leadership and team members to extend day‑to‑day administrative functions.
- Communicate with fighters and their management to obtain information needed for immigration processes.
- Prepare travel letters for staff, fighters, fighter teams, and contractors.
- Monitor submissions received for travelers on the Business Traveler Questionnaire and take actions as directed.
- Prepare online visa applications, including DS‑160 drafts, for the Global Immigration Specialist team.
- Assist the immigration team in scanning, copying, and filing immigration documents/petitions for USCIS, including preparing courier labels and delivery to the company mailroom or courier locations when needed.
- Create and maintain immigration profiles in INS Zoom.
- Maintain electronic and hard‑copy filing systems, ensuring all documents are appropriately filed using designated nomenclature in various internal software systems.
- Work with other internal departments to promote departmental objectives.
- Create and process communications on behalf of leadership members.
- Schedule and coordinate meetings or other events and manage the calendar of leadership as requested.
- Prepare presentations for meetings or other events as directed by assigned executive(s).
- Perform travel management and other similar administrative tasks.
- Prepare expense reports.
- Ensure adequate office supplies and process order requests for additional supplies as needed.
- Perform other tasks, projects, and responsibilities as assigned.
- Bachelor’s degree in business management or related area.
- Prior experience as a legal assistant is a plus.
- Outstanding organization, prioritization, analytical, and anticipatory skills.
- Solid project management and problem‑solving skills.
- Self‑motivation and initiative to perform tasks to the best of one’s ability.
- Flexibility and responsiveness to evolving business environments.
- Excellent verbal and written communication skills at all levels of the organization.
- Ability to work independently in a multi‑task, fast‑paced environment.
- Excellent attention to detail and ability to maintain confidential information.
- Interest in moving into a specialist role is a plus.
- Proficiency in Microsoft Excel, Word, PowerPoint, SharePoint, and Outlook; ability to learn other basic computer programs.
Requires close vision and the ability to adjust focus, as well as the ability to distinguish letters, numbers, and symbols. Frequently required to sit, talk, hear, use hands and fingers to operate, handle, or feel objects, tools, or controls, reach with hands and arms, and occasionally lift and/or move large or heavy objects.
