ResponsibilitiesSpecifically, you would be responsible for performing the following tasks to the highest standards:
- Answer all transient and group reservation calls and e-mails in a friendly manner, using clear English communication. When processing e-mails or listening to callers, ensures a clear understanding of their inquiries and requests. Promptly provides accurate information regarding availability of accommodations and other requested information. Assists other departments such as Sales, Meetings and Conventions and Front Office with reservation related questions.
- Create and Manage Group Room Blocks, Build new Group SRPs in OnQ Rate and Inventory Management and Group Max. Monitor group blocks, ensure cut off dates are met, monitor pick-up, process rooming lists.
- Work closely with hotel Sales Managers, Event Managers, Front Office Managers, Guests, Group Contacts and Travel Agents to ensure operating departments are informed of guest needs.
- Manage and communicate information regarding hotel occupancy, promotion, special reservation procedures, operational issues and special events.
- Calculate, prepare and generate designated reports related to group and transient business production.
- Attend weekly Group Pick-up Meeting.
- Create Group masters and update all systems with appropriate communication.
- Verify group resumes ensuring accuracy of billing, complimentary room night allocations, staff rate allocations, and all other front office related contractual concessions.
- Administrative duties including Email correspondence with internal and external clients, processing and filing contracts.
- Other duties as needed.
