Administrative Assistant IV

The University of Nevada, Las Vegas invites applications for Administrative Assistant IV, Brain Health Department, Kirk Kerkorian School of Medicine [R0152031].

The role of the position is to support the Department of Brain Health in its administrative, financial, and academic functions. This position plays a crucial role in managing daily operations, coordinating with faculty, staff, and students, and ensuring smooth workflows across the department. Key responsibilities include maintaining departmental records, organizing schedules and travel arrangements, and serving as the primary point of contact for internal and external stakeholders.

The individual will oversee office procurement, equipment inventory, and key control systems, while maintaining confidentiality and compliance with university policies.

In addition to administrative duties, the role involves managing department budgets, including grants, philanthropic support, and self-supporting accounts, and preparing monthly financial reports for the Chair. The individual will process travel authorizations, expense reports, and honorarium payments, as well as reconcile transactions and oversee purchasing activities. Collaboration with the Dean's Office and university financial teams will be essential to ensure proper budget tracking and alignment with institutional guidelines.

The position also supports academic and human capital management activities, such as onboarding faculty, staff, and students, managing recruitment and hiring processes, and coordinating participation in neuroscience and School of Medicine programs. Responsibilities include facilitating compliance with HR policies, preparing grant budgets, and supporting faculty research initiatives.

This role may also include planning and executing department events, such as orientations, graduations, and research meetings, and contributing to special projects aimed at enhancing departmental operations. The individual will have the opportunity to collaborate on process improvements, participate in departmental initiatives, and take on other duties as assigned to support the overall goals of the department.

Minimum qualifications include graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources;

OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.

Salary is Grade 29 Step 1, salary $50,153.76. In accordance with Nevada Administrative Code (NAC) 284.170, initial appointments to classified positions typically begin at Step 1 of the assigned grade. A "Step" refers to the specific rate of pay within a grade, as determined by the Division of Human Resources.
