Full‑time, 12‑month administrative faculty position located in Las Vegas, NV. Salary commensurate with experience, starting at $70,000.
Position OverviewThe Executive Assistant reports to the Dean of University Libraries and provides high‑level administrative support, project management, calendaring, and coordination of communications. The role includes direct supervision of 1 classified staff member and up to 4 student employees, and support of clerical and administrative tasks for the Associate Dean, Academic and Administrative Directors.
Responsibilities- Manage the dean’s schedule and coordinate all communications from the dean’s office to the Libraries and the broader university.
- Supervise and coordinate activities of Library administrative office staff and student employees.
- Attend senior‑level administrative meetings, prepare minutes, and maintain meeting documentation.
- Update the Libraries’ staff Google Site and other internal documents.
- Coordinate academic faculty evaluation processes, including annual evaluations, merit, promotion & tenure, and outside‑activity requests, liaising with the Faculty Promotion and Tenure Committee.
- Communicate with Provost’s and President’s offices regarding forms, deadlines, and procedures for faculty matters.
- Support donor stewardship and cultivation activities.
- Maintain confidential information and exercise sound judgment in all administrative matters.
- Bachelor’s degree from an accredited institution and 5 years of comparable experience in an academic environment.
- Experience working with diverse populations and sensitivity to a wide range of identities.
- Exceptional written and verbal communication and customer‑service skills.
- Minimum one year of supervisory experience.
- Strong organizational and project‑management skills; ability to prioritize tasks and work autonomously.
- Critical‑thinking and problem‑solving capabilities.
- Knowledge of academic missions and services.
- High attention to detail and accuracy.
- Discretion with confidential information.
- Ability to build collaborative relationships across the library and institution.
- Working proficiency with Excel, Word, and Google Workspace.
- Knowledge of higher‑education organization, governance, and structures.
