OverviewThe Administrative Assistant 4 supports the Director and Associate Director of IT and Facilities Administration and staff in the Division of Philanthropy and Alumni Engagement. The role provides administrative, contracting, clerical, and on‑site troubleshooting support, manages invoicing and billing, maintains event records, oversees inventory and procurement, handles donor/client issues, and supervises student workers.
Responsibilities- Provide administrative, contracting, and clerical support to IT & Facilities leadership.
- Manage invoicing, billing, and accounts payable processes, including creation of event contracts, deposit and final invoices, and Workday journal transactions.
- Maintain front‑desk operations, answer phones, greet visitors, and troubleshoot front‑desk problems.
- Coordinate vendor relationships, research and resolve vendor issues, and provide frontline resolution support.
- Maintain and track inventory, order office supplies and personalized stationery for the Division.
- Assist with facility administration, including golf cart management and building initiatives.
- Administer student worker schedules, delegate projects, and provide training and supervision.
- Participate in yearly budgeting, financial planning, and policy development with the Director.
The Division fosters relationships with alumni, friends, corporations, and foundations, encouraging private financial support for students, faculty, research, and programs.
Minimum Qualifications- High‑school graduation or equivalent.
- Four years of progressively responsible work experience providing administrative/program support, secretarial duties, communication coordination, supervisory experience, or research, OR one year as an Administrative Assistant III in Nevada State service.
- Combination of education and experience equivalent to the above.
- Strong organizational and attention‑to‑detail skills.
- Ability to work independently with minimal supervision and collaboratively as part of a team.
- Knowledge of Workday business processes.
- Proficiency in Microsoft Office and Google products.
- Effective written and verbal communication skills.

SalaryGrade 29 Step 1, salary $50,153.76 per year.
