Administrative Assistant IV, Brain Health Department, Kirk Kerkorian School of Medicine

We are seeking a highly organized and detail-oriented individual to support the Department of Brain Health in its administrative, financial, and academic functions. This position plays a crucial role in managing daily operations, coordinating with faculty, staff, and students, and ensuring smooth workflows across the department.

  • Maintain departmental records, organize schedules and travel arrangements, and serve as primary point of contact for internal and external stakeholders.
  • Oversee office procurement, equipment inventory, key control systems while maintaining confidentiality and compliance with university policies.
  • Manage department budgets, prepare monthly financial reports for the Chair, process travel authorizations, expense reports, honorarium payments, reconcile transactions and oversee purchasing activities.
  • Support academic and human capital management activities, including onboarding faculty, staff, and students, managing recruitment and hiring processes, and coordinating participation in neuroscience and School of Medicine programs.
  • Coordinate compliance with HR policies, prepare grant budgets, and support faculty research initiatives.
  • Plan and execute department events such as orientations, graduations, research meetings, and contribute to special projects.
  • Collaborate on process improvements and departmental initiatives.

Graduation from high school or equivalent, and four years of progressively responsible relevant work experience which included one or more of the following areas:

  • Providing administrative/program support to professional staff and management.
  • Performing secretarial duties in support of a manager.
  • Coordinating communications between the manager, staff, and program clientele.
  • Supervision of subordinate staff.
  • Researching information from internal and external sources.
  • One year experience as an Administrative Assistant III in Nevada State service.
  • Equivalent combination of education and experience.
Salary

Grade 29 Step 1, salary $50,153.76.
