ROLE of the POSITION
Reporting to the Associate Vice Provost for Undergraduate Education & High-Impact Practices (AVPUEHIP) with a dotted line to the Director of Career Services and Workforce Development (Director), the Business Operations Coordinator (Coordinator) provides comprehensive executive operational administrative support to the AVP Undergraduate Education & High-Impact Practices, the Director, and the Office of Career Services and Workforce Development (Office).
The purpose of this position is to provide executive administrative support and office management to the AVPUEHIP, Director and the Office. The Coordinator provides comprehensive management and orchestration of day-to-day office administrative operations and front desk activities for the Office of Career Services and Workforce Development, as well as high level administrative support to the AVPUEHIP and the Director. Given the nature of this work and structure of this office, the Coordinator must reflect UNLV values and be collegial, responsive, a discerning and skilled communicator, be detailed and organized, effective at multitasking calmly, prioritize strategically, accomplish tasks and goals efficiently and effectively, and possess a growth mindset.
This position requires analytical and critical thinking to evaluate, coordinate, and problem-solve situations, events, interpersonal matters, and projects to ensure the smooth, ethical, professional functioning of the offices of the AVPUEHIP and Office operations, while understanding and anticipating the needs of the AVPUEHIP and the Director.
The Coordinator exercises independent judgment, initiative and discernment to lead executive-level administrative support and ensure effective, productive, and timely coordination of business operational and executive needs of the AVPUEHIP, including communications, scheduling, meeting preparations, event and conference design, organization and execution activities, information management, and administrative operations of the AVPUEHIP, the Director, and the Office. Office operations including but are not limited to, front desk management, student worker management, inventory control and administration;
facility management; and procurement. The Coordinator works to continually evaluate and respond to the administrative needs and seeks solutions to new challenges that may arise. This position also manages the Office budget and finance related activities, including but not limited to, regularly updating, monitoring, and reporting.
This position provides administrative support and maintenance of Office personnel and position management / human resources (HR) activity. This includes proactive monitoring, initiation and follow-up of procedures for related HR actions such as supplemental pay, position management, search management, ad hoc assignments, and workday business processing.
The Coordinator takes independent initiative to provide event coordination and execution, and ensures appropriate preparations for events are anticipated, planned, vetted and contracted and completed in advance, and provides leadership to team members supporting the event planning, event, and post-event activities to ensure events…
