We are seeking an Office Coordinator to be the organizational backbone of our Las Vegas headquarters. This person will be the first point of contact for our office, day in and day out, greeting visitors, answering phones, and directing deliveries, while also coordinating company events and supporting a handful of internal systems and tools that help our team work efficiently. This role reports directly to the Corporate Controller and works closely with our external IT provider, finance, leadership, and other internal teams.

What

You’ll Do Front Desk & Office Operations
  • Serve as the first point of contact for the Las Vegas office: answer and route incoming calls, greet visitors, manage vendor sign‑ins, and direct deliveries to the right person or location
  • Maintain a consistent, professional front‑of‑office presence throughout business hours
  • Own office supply inventory and procurement, including managing the office supply budget and anticipating needs before they become issues
  • Maintain organized records of office equipment, including laptops, phones, and other company‑issued devices
  • Coordinate with facilities‑related service providers and help ensure the office is clean, organized, and running smoothly
Event Planning & Coordination
  • Book and coordinate company events, including team lunches, office volunteer events, board dinners, and the annual holiday party
  • Lead logistics for Cultiva’s annual company meeting, a multi‑day event that includes a hotel room block, full‑day presentation space, meals, and off‑site evening events
  • Manage event budgets, vendor communication, reservations, timelines, and day‑of coordination
  • Ensure company events are well‑organized, professional, and aligned with the needs of the team and leadership
Office Systems & Records (Ongoing Projects)
  • Maintain accurate, up‑to‑date fleet records in Airtable, including monthly mileage logging, maintenance receipt entry, and driver and compliance updates for our 8‑vehicle company fleet
  • Assist with basic coordination between employees and our external IT provider for new hire setup, equipment requests, and routine technology support needs
  • Keep organized records of company equipment, software licenses, and administrative documentation
  • Support the organization of internal SharePoint resources, forms, templates, and documentation
  • Use Asana to track assigned tasks and recurring responsibilities
Administrative Support
  • Provide general administrative support to the finance and leadership teams
  • Maintain accurate electronic filing systems using Microsoft Share Point
  • Support document management, internal communications, meeting preparation, and other administrative projects as needed
What We’re Looking For

  • Excellent communication skills with professional phone etiquette and a service‑oriented approach
  • Comfortable working in a fast‑paced, small‑company environment where priorities can shift
  • Strong proficiency in Microsoft 365, including Outlook, Excel, Teams, and Share Point
  • Experience with Airtable, Asana, Power Automate, or similar workflow tools is a plus, but not required. We’re happy to train the right person
  • Interest in AI productivity tools such as ChatGPT or Claude is a plus
  • Ability to manage multiple recurring responsibilities while staying organized and accurate
  • Reliable, on‑time attendance five days a week is essential. This role is the first point of contact for the office and requires consistent, dependable presence during business hours.
Compensation & Benefits
  • $23–$28 per hour, depending on experience, plus up to 25% discretionary bonus based on individual performance and company‑wide KPIs
