Site Services Coordinator
The Site Services Coordinator supports Project Managers by conducting service research, creating project timelines, and handling administrative tasks like site binder creation. They assist in placing and confirming I&D and field service orders, ensuring professional, timely, and cost-effective service delivery. The coordinator builds and maintains a network of vendors, responds to inquiries, recommends cost-saving strategies, and tracks important site service and labor information.
They initiate payment requests, approve invoices, and follow internal procedures. A proactive and resourceful approach is essential, with creativity and flexibility to achieve project goals effectively.
- Assists Project Managers with service research, project timeline creation, and other administrative activities related to site services (e.g. creation of site binders)
- Assists Project Managers with placing I&D and field service orders upon approval
- Follows up on field services orders for confirmation
- Establishes and maintains network of contacts among service contractors/vendors
- Responds to incoming calls as required from internal staff and external vendors
- Ensures quality service delivery and professional standards in a timely and cost efficient manner
- Recommends cost-saving measures to team
- Helps to track down show information and other site service/labor information, vendors and resources
- Maintains a proactive approach to all responsibilities and future projects
- Initiates RPO's and payment requests, approves invoices (with support/feedback from Manager and appropriate PMs) and follows internal payment procedure
- Relies on experience and judgment to plan and accomplish goals
- A wide degree of creativity and latitude is expected
- Coordination & Administrative Skills you have top coordination and administrative skills, including a high degree of competence working with Microsoft Office
