Job Description
The University of Nevada, Las Vegas invites applications for Administrative Assistant 4, College of Sciences Dean’s Office [R0152587].
ROLE of the POSITIONThis 100% in‑person position is located at the UNLV Maryland Campus. The successful candidate will provide broad administrative support to all faculty in the College, including pre‑ and post‑award finance and HCM support, expense reconciliation, budget reviews and amendments, and hiring of temporary employees. The role also includes preparation and submission of visa documents for grant‑ and program‑funded foreign researchers to the Office of International Student and Scholar Compliance, Letter of Appointment contracts, and hiring/termination of temporary workers as needed.
The incumbent may be called upon to work in other College units during major staff absences or deficiencies, acting as Office Manager and liaison for the Department Chair/School Director of that unit and ensuring all tasks and business processes are completed within established guidelines. The position facilitates communication for the Chair/Director between the College of Sciences, HR, Payroll, Student Enrollment Services, the Office of the Registrar, the Office of International Student and Scholar Compliance, Graduate College, the VPR Office, and the Provost’s Office.
Proficiency in Workday, MyUNLV, Archibus, MS Office, and Sales Force is required. The role also involves analyzing and reconciling data to prepare reports and spreadsheets on enrollment trends, financial data, and other useful documents used in forecasting the unit’s enrollment and financial needs. The incumbent trains other classified administrative staff and students in effective front‑office operations, handles purchasing and accounting for departments within the College of Sciences (requiring knowledge of UNLV Purchasing and Accounts Payable guidelines), monitors and analyzes departmental program accounts, and performs expense reconciliation and reassignment, determining appropriateness of expenditures for state, special fee, non‑state, gift, and grant funds.
Graduation from high school or equivalent education and four (4) years of progressively responsible, relevant work experience, which may include: providing administrative or program support to professional staff and management; performing secretarial duties for a manager; coordinating communications between the manager, staff, and program clientele; supervising subordinate staff; researching information from internal and external sources. OR one year of experience as an Administrative Assistant III in Nevada State service;
OR an equivalent combination of education and experience as described above.
- Prior experience working in higher education.
- Ability to multi‑task and work in a dynamic, fast‑paced environment.
- Experience with Workday, People Soft, Microsoft Word, Excel, PowerPoint, project management, and the documented ability to learn new software systems.
- Supervisory experience.

SalaryGrade 29, Step 1: $50,153.76 annually.
