About the PositionThe Clinical Coordinator / Receptionist serves as the central point of communication for our clinic, providing exceptional customer service to families while supporting our Board Certified Behavior Analysts (BCBAs), therapists, and leadership team with daily scheduling and administrative operations.
This position is ideal for someone who enjoys multitasking, solving problems, and creating a positive experience for our clients and staff.
What You'll Do Front Office & Reception- Greet clients, families, and visitors with professionalism and warmth.
- Answer and direct incoming telephone calls.
- Manage front desk operations and clinic check-in/check-out procedures.
- Maintain a welcoming, clean, and organized reception area.
- Assist families with appointments, paperwork, and general questions.
- Coordinate staff and client therapy schedules.
- Manage appointment changes, cancellations, and rescheduling.
- Communicate scheduling updates with families and clinical staff.
- Assist with maintaining therapist schedules for maximum efficiency.
- Provide administrative support to BCBAs and leadership.
- Prepare reports, forms, and clinical documentation.
- Maintain electronic and physical client records.
- Perform data entry and document management.
- Assist with onboarding activities and administrative projects.
- Maintain clinic supplies and therapy materials.
- Ensure therapy rooms remain clean, organized, and ready for services.
- Support daily office operations and quality improvement initiatives.
- Assist with special projects as assigned.
We're looking for someone who has:
- High School Diploma or GED required
- Associate's or Bachelor's Degree preferred
- Minimum two (2) years of administrative, scheduling, receptionist, or clinical coordination experience
- Experience in healthcare, ABA, behavioral health, or medical office preferred
- Excellent customer service and communication skills
- Strong organizational and time management abilities
- Ability to multitask in a fast-paced environment
- High attention to detail
- Working knowledge of Microsoft Office (Word, Excel, Outlook)
- Experience with Electronic Health Records (EHR) systems is preferred
- Ability to maintain confidentiality and professionalism at all times
