This role serves as a key liaison between departments, ensuring seamless communication, efficient workflow management, and timely execution of strategic initiatives across Wynn and Encore's nightlife venues. The Executive Assistant is responsible for managing executive calendars, coordinating meetings and events, preparing reports and presentations, handling confidential information, and supporting operational projects while maintaining the discretion, professionalism, and service excellence consistent with Wynn Las Vegas' Forbes Five-Star standards.
Drawing upon Wynn's commitment to luxury hospitality, the Executive Assistant must demonstrate exceptional organizational skills, attention to detail, adaptability, and the ability to thrive in a fast-paced, high-profile environment supporting one of the premier nightlife operations in the world. The role supports leadership in maintaining operational excellence while serving as a trusted business partner across multiple departments. - Manage complex calendars for Nightlife executives, scheduling meetings, site visits, interviews, inspections, and special events.
- Coordinate travel arrangements, itineraries, accommodations, and expense reporting for Nightlife leadership.
- Screen and prioritize incoming communications, correspondence, and requests while ensuring timely follow-up.
- Prepare agendas, meeting materials, presentations, reports, and executive briefings.
- Draft professional correspondence, departmental communications, and executive summaries.
- Maintain confidential records, contracts, licensing documentation, personnel files, and departmental records.
- Organize and coordinate executive meetings, leadership forums, vendor appointments, and operational reviews.
- Record meeting minutes and track action items to ensure accountability and timely completion.
- Assist with department budgeting processes, invoice reconciliation, purchase requests, and expense tracking.
- Support operational reporting and maintain accurate records related to labor, staffing, and departmental initiatives.
- Coordinate special projects, strategic initiatives, venue activations, and operational improvement efforts.
- Partner with Finance, Human Resources, Security, Marketing, Food & Beverage, Entertainment, and Facilities teams to facilitate business objectives.
- Assist leadership with the preparation of business plans, presentations, budgets, and departmental performance reports.
- Monitor project timelines and ensure deliverables are completed according to established deadlines.
- Serve as a professional liaison between Nightlife leadership and internal departments.
- Maintain strong working relationships with executives, management teams, vendors, promoters, entertainers, and business partners.
- Handle sensitive and confidential matters with discretion and professionalism.
- Represent the department with the highest level of hospitality, professionalism, and executive presence.
- Ensure all interactions align with Wynn Resorts' Core Values and Forbes Five-Star service standards.
- Assist with interview scheduling, candidate coordination, onboarding activities, and new leader orientations.
- Support preparation of organizational charts, staffing reports, and employee communications.
- Coordinate training schedules, leadership meetings, and departmental recognition programs.
- Ensure proper maintenance of contracts, permits, licensing documentation, and operational records.
- Maintain compliance with company policies, procedures, and applicable regulatory requirements.
- Support document retention, filing systems, and audit preparation activities.
- High School Diploma or equivalent required.
- Minimum three (3) years of executive administrative support experience, preferably supporting senior leadership.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Exceptional written, verbal, and interpersonal communication skills.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Demonstrated ability to handle confidential and sensitive information.
- Ability to exercise sound judgment and work independently with minimal supervision.
- Experience preparing reports, presentations, and executive correspondence.
- Must be able to work flexible schedules as business needs require.
