Administrative Coordinator
As an Administrative Coordinator in our iconic venues, you'll provide behind-the scenes administrative support essential to maintaining operational excellence. You'll support venue leadership in operations, billing, employee hiring, and engagement for a multi-experiential live music venue, bar and restaurant. As the ideal candidate, you'll bring organizational skills and teamwork to deliver exceptional service to guests through unforgettable experiences. Reports to General Manager.
- Assist with daily administrative and general office functions, including ordering office supplies, submitting invoices for payment, and maintaining files and tracking systems. Maintain organization of the office, supplies and equipment.
- Support administrative functions for various operations departments (i.e., Maintenance, Private Events and F&B, etc.) with billing and general reporting. Track, code and submit invoices, expense reports and expense card statements for approval. Maintain and submit monthly accruals.
- Assist with recruitment in sourcing candidates and scheduling interviews.
- Support onboarding new hires through I-9 verification, parking administration, uniform ordering, and related onboarding activities.
- Maintain employee timekeeping records to ensure employees are compensated appropriately and timely.
- Track personnel-related items such as attendance and benefit payments.
- Ensure employee paperwork and personnel transactions are completed per company policy.
- Assist with the administration, development and implementation of employee engagement, retention and appreciation efforts.
- Support training programs by tracking and monitoring the completion of training and required certifications.
- Track routine equipment maintenance needs and required building inspections.
- Perform periodic internal building, health and safety audits to maintain compliance. Partner daily with venue leadership and external auditors when on-site.
- Appropriately direct employee inquiries to venue and company leadership.
- Comply with all company issues steps of service. Follow all corporate policies, safety and security procedures, and brand SOPs. Promptly report accidents, facility issues, or unsafe conditions to management.

- High school diploma or equivalent required
- 2+ years' related experience required
Skills and Abilities
- Effective interpersonal, written, and verbal communication skills
- Strong organization skills and attention to detail
- Proficient with Microsoft Office Suite
Speak and hear to communicate and use both near and far vision. Frequently sit with some walking and standing. Occasionally climb, sit, kneel, bend, steps up/down and reach above shoulder. Regularly traverse stairs and walk on uneven terrain, often while carrying product. Frequently lift/carry up to 25 lbs. Continually use gross motor skills with frequent use of bi-manual dexterity and fine motor skills for computer use.
WorkingConditions
Restaurant/bar/live music environments, indoors and outdoors, subject to both kitchen and customer areas, with large crowds and elevated noise levels.
