We are seeking a highly motivated Front Desk Receptionist to serve as the welcoming face of our office and provide essential administrative support.
About the Role:As the Front Desk Receptionist, you will be the first point of contact for visitors, clients, and employees, setting the tone for a professional and welcoming office environment. This role involves managing daily office operations, coordinating meetings, handling communications, and assisting with administrative tasks. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced setting where multitasking is essential.
Key Responsibilities:- Serve as the first point of contact, creating a professional and welcoming atmosphere for guests and staff.
- Answer and direct phone calls, emails, and other correspondence efficiently.
- Maintain the organization, cleanliness, and stocking of the front desk, supply areas, and kitchens.
- Manage conference room scheduling and coordinate meetings and office activities.
- Monitor and track office expenses, costs, and supply inventory.
- Update and maintain records and files to ensure accuracy and accessibility.
- Prepare, process, and coordinate outgoing marketing materials, corporate correspondence, and other company mailings, ensuring timely delivery through USPS, Fed Ex, Pitney Bowes, and other shipping carriers.
- Handle special projects and administrative tasks as needed.
- 1-3 years of receptionist, administrative, customer service, or related experience preferred.
- Strong customer service orientation with excellent interpersonal skills.
- Exceptional verbal and written communication skills.
- Highly organized, self-motivated, and able to manage multiple priorities.
- Proficient in Microsoft Office Suite, including Outlook, Excel, and Teams.
- Ability to adapt to a dynamic work environment and take initiative.
