Hotel Group Specialist
This position is for a Hotel Group Specialist responsible for coordinating all aspects of definite group service milestones. The role serves as the key contact and liaison with clients, sales teams, and on-property operations teams. The Specialist will ensure customer service, professional communication, and detailed follow-through to support successful group experiences in a corporate office environment.
Key Responsibilities
- Coordinate all aspects of definite groups, including facilitating group rooming lists, payments, confirmations, and VIP arrangements.
- Serve as the primary contact for clients after contracts are signed, managing communications via phone and email.
- Maintain accurate records in sales systems and monitor group pickup reports.
- Work with internal departments such as Revenue, Inventory, and Business Management on special requests, inventory adjustments, and deposit processing.
- Create reservation links and ensure billing arrangements are established.
- Process group commissions and rebates and run various weekly and monthly sales reports.
- Assist in rebranding efforts and the implementation of new property builds.
- Handle administrative tasks, including managing email correspondence across multiple properties and prioritizing tasks based on deadlines.
Required Qualifications
Education:
A High School diploma or GED is required.
Experience:
A minimum of two years of hotel operations experience is required. Experience in sales or front desk roles within the hospitality industry, such as hotel, timeshare, or resort, is preferred.
Technical
Skills:
Proficiency with Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) is necessary. This includes beginner to intermediate Excel skills, such as using formulas and sums.
Professional
Skills:
Candidates must possess professional phone etiquette, customer service skills, and attention to detail. Communication and grammar skills are essential.
Work Environment
This role is based in an office setting, working from a desk or cubicle from Monday to Friday.
