Position Overview

We are seeking a friendly, organized, and customer-focused Receptionist / Client Care Coordinator to be the first point of contact for our clients and their pets. This role is responsible for providing exceptional customer service, managing appointments, coordinating groomer schedules, and ensuring our online booking system is accurate and up to date.

The ideal candidate loves pets, thrives in a fast-paced environment, and has strong communication and organizational skills.

Key Responsibilities Customer Service
  • Greet clients and pets in a warm, professional manner.
  • Answer incoming phone calls, text messages, emails, and online inquiries.
  • Assist clients with scheduling, rescheduling, and canceling appointments.
  • Address customer questions regarding services, pricing, policies, and pet care recommendations.
  • Resolve customer concerns professionally and elevate issues when necessary.
Appointment & Booking Management
  • Manage the salon's online booking platform and appointment calendar.
  • Review online appointment requests for accuracy and completeness.
  • Confirm appointments and send reminders to clients.
  • Optimize scheduling to maximize groomer productivity and minimize gaps.
  • Coordinate schedule changes, waitlists, and last-minute openings.
  • Monitor recurring appointments and client retention opportunities.
Administrative Duties
  • Maintain accurate client and pet records.
  • Process payments and prepare daily transaction reports.
  • Keep client information, vaccination records, and service notes updated.
  • Assist with inventory tracking and ordering office supplies.
  • Maintain a clean and organized reception area.
Sales & Client Retention
  • Educate clients about grooming services, add-on services, and retail products.
  • Promote membership programs, seasonal services, and special promotions.
  • Encourage pre-booking future appointments.
  • Help maintain positive client relationships through follow-up communications.
Qualifications
  • Previous receptionist, customer service, or administrative experience preferred.
  • Experience in a pet grooming, veterinary, kennel, or pet care environment is a plus.
  • Comfortable working around dogs and cats of all sizes and temperaments.
  • Strong computer skills and ability to learn scheduling software.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational abilities.
  • Ability to multitask and remain calm during busy periods.
  • Reliable, punctual, and team-oriented.
Preferred Skills
  • Experience with online booking and scheduling platforms.
  • Familiarity with point-of-sale systems.
  • Basic knowledge of pet grooming services and terminology.
  • Sales or upselling experience.
