Tour Services Coordinator, HR and immigration Operation Support

YOUR MISSION

Under the supervision of the Tour Services Director, the Tour Services Coordinator is in charge of coordinating the human resources for employees on tour, logistics and support activities. They work in close collaboration with other tour members, International Headquarters (IHQ) departments and external suppliers in assuring quality services and efficient tour operations.

Human Resources
  • Organize and follow up on activities related to immigration, as directed by the Senior Immigration Advisor;
  • Organize and follow up on activities related to social security matters, as directed by IHQ;
  • Administer all follow-up work regarding workers’ compensation;
  • Liaise with tour employees and artists, the group insurance provider, and IHQ in all matters relating to group insurance;
  • Promote and support the use of the Employee Assistance Program (EAP) and other Human Resources services in place;
  • Based on the list of preferred medical providers, visit medical clinics and specialists in each city as required;
  • Support tour departments and administer Cirque’s work wear program, work clothing policy and years of service recognition program;
  • Working with the Tour Services Director, support new employees and artists and provide them with orientation.
Transport and Lodging
  • Support the Tour Services Director regarding travel and lodging procedures and activities as required;
  • Book lodging for touring personnel according to directives provided by the Tour Services Director and Technical Director;
  • Analyze transport needs for regular touring personnel and Fly-In hired for transfers;
  • Arrange city-to-city travel, luggage/office vans and flights for staff;
  • Prepare the rooming list in keeping with tour policies and employee seniority;
  • Produce, communicate and monitor transport schedules;
  • Coordinate the booking of airline tickets in collaboration with the travel agency;
  • Manage ad hoc problems with accommodation and travel arrangements;
  • Coordinate and communicate the information required for all staff transfers and annual vacation leave;
  • Ensure compliance with the organization’s travel and lodging policies on tour;
  • Produce a tour book for staff and specific documentation requested by the Tour Services Director (e.g., Fly-In tour book).
General
  • Complete relevant sections of city reports and any other follow-up reports;
  • Carry out general administrative tasks such as ad hoc reporting, filing, photocopying, shipping, etc.;
  • Actively participate in establishing a convivial, safe and creative work environment;
  • Support the other coordinator in their tasks and occasionally replace them on occasion;
  • Actively participate in set-up and tear-down operations and assist colleagues in their transfer responsibilities.
YOUR UNIQUE EXPERTISE
  • Human Resources experience and knowledge mandatory;
  • Degree in Human Resources in Tourism, Production Management, Administration; a bachelor’s degree, an asset;
  • Two to four years’ general experience in a touring environment;
  • Experience with disability management, an asset;
  • Good people skills and cross-cultural awareness and sensitivity;
  • Strong organizational and multitasking skills;
  • Experience managing transport and lodging for large groups, an asset;
  • Experience travelling, working and living abroad;
  • Knowledge of Microsoft applications in a Windows environment;
  • Fluent in spoken and written English essential; any additional language spoken and/or written is an asset;
  • Availability to tour full time and to work in foreign countries;
  • Valid driver’s license.
