The company was founded by Pasquale Rotella and has been based in Los Angeles since it was formed in 1993.

THE ROLE

Insomniac is looking for a Seasonal Travel Coordinator to provide administrative support for our festival travel operations. This role requires exceptional organizational abilities, a sharp eye for detail, and the capacity to work under pressure, often managing multiple travel schedules simultaneously. Travel Coordinators play a pivotal role in ensuring a seamless travel experience while adhering to company policies, budget constraints, and the preferences of travelers.

They serve as the central point of contact for all travel-related matters, ensuring that logistics are handled efficiently and that travelers feel supported throughout their journey. This position will report to the Project Manager, Travel. This is not a remote position.

RESPONSIBILITIES
  • Maintain, file, and organize office and festival paperwork.
  • Aid in the travel planning and approval process.
  • Support Accounting activities (credit card authorizations, reconciliation reports, etc…)
  • Support communications between Insomniac and 3rd party travel vendors.
  • Provide support for the online booking tool to end users
  • Create and maintain files per show for all travel needs/moves.
  • Be the secondary point of contact for all travel inquiries
  • Support vendor relations
  • Maintain relations with departments to ensure travel needs are met
  • Support data analysis for travel history and reports
  • Train and provide support in onboarding team members, clients, vendors and partners when needed
  • All other projects and initiatives as identified
QUALIFICATIONS
  • 2+ years experience in administrative tasks.
  • Must be competent in problem-solving issues related to mobile devices as well as Mac and PCs.
  • Must be proficient in Microsoft and Google operating systems
  • Must have strong communication skills, both verbal and written.
  • Must be able to think through, evaluate and solve problems logically and efficiently.
  • Must have exceptional organizational skills and meticulous attention to detail.
  • Must conduct all matters and communications in a professional and courteous manner as a representative of the company.
  • Must be motivated with an “Everything is possible” attitude.
  • Must be an active problem solver, instilled with a sense of urgency for projects large and small.
WORK ENVIRONMENT
  • Must be willing to travel to work during holidays, evening and weekend hours, as required, to meet deadlines
  • Must be able to tolerate loud noise levels and drastic temperature climates while working on site at various event location
  • Must be able to work in open concept office space
