Job Summary

The Human Resources Assistant plays a vital role in the HR department, ensuring a seamless and positive experience for candidates and employees. We are a technology-driven organization that values innovation. This role provides critical administrative support with a focus on managing the pre-employment and onboarding process. The ideal candidate is an experienced, energetic, and detail-focused individual who is digitally savvy and eager to leverage AI tools to increase efficiency.

Essential Duties And Responsibilities
  • AI-Enhanced Communication:
    Utilizes Generative AI tools (e.g., ChatGPT, Gemini) to assist in drafting professional candidate communications, offer letters, and employee announcements to ensure clarity and brand consistency.
  • Recruitment Support:
    Manages job requisitions and pre-employment screenings, exploring automated workflows to reduce time-to-hire.
  • Bilingual Translation Support:
    Leverages AI translation and grammar tools to support English/Spanish communication, ensuring accuracy and cultural relevance across all company documentation.
  • Data & Reporting:
    Assists in maintaining HRIS (Paycor) data integrity; uses AI-assisted Excel functions or data tools to generate reports and identify trends in hiring or turnover.
  • Onboarding Coordination:
    Coordinates logistical aspects of new hire orientation and assists in updating digital training materials and PowerPoint presentations using modern AI design tools.
  • Knowledge Management:
    Acts as a primary point of contact for standard FAQs, utilizing internal knowledge bases to provide rapid, accurate answers to employee inquiries.
  • Process Improvement:
    Proactively identifies opportunities to "automate the mundane" by suggesting new software or AI-driven workflows for the HR department.
Minimum Requirements
  • High school diploma or equivalent required;
    Associate's or Bachelor's degree in a related field is a plus.
  • 1-2 years of experience in Human Resources, recruitment, or administrative roles.
  • AI Literacy:
    Demonstrated interest or experience in using Generative AI (e.g., ChatGPT, Claude, Gemini) for professional writing, brainstorming, or task management.
  • Bilingual in English and Spanish is required.
  • Proficiency in Google Suite; experience with an HRIS (such as Paycor) is a plus.
  • Strong attention to detail, critical thinking, and a "tech-first" mindset.
  • Ability to handle sensitive information with the utmost discretion.
Physical Demands and Work Environment

Standard office setting requiring prolonged sitting/standing, computer operation, and effective communication. Occasional lifting up to 15 lbs. Vision abilities required for data entry and document review. Westland is an EOE and provides reasonable ADA accommodations for qualified individuals.
