The Role

Weare seeking a motivated Estate Planning & Business Planning Paralegal / Legal Assistant tosupport our attorneys and firm operations. This role involves preparing and coordinating estate planning documents, managing client communications,maintaining records, and providing administrative support to attorneys and the Office Manager.

What You’ll Do
  • Handle extensive client contact, including calls, questions, and inquiries, and route issues appropriately with professionalism and courtesy
  • Follow up with clients on missing or outstanding drafting items
  • Gather, review, and organize data regarding clients’ beneficiaries, trustees, agents, and other representatives
  • Input client data into document creation software and prepare/proof initial drafts of estate planning documents for attorney review
  • Revise documents as necessary after attorney edits
  • Prepare client flow charts
  • Serve as Witness / Notary Public as required
  • Maintain work-in-progress spreadsheets and track correspondence related to the estate planning process with clients, advisors,and financial institutions
  • Provide original documents to clients and/or successor trustees
  • Coordinate and prepare all out-of-office orout-of-state signings
  • Provide support to Estate Administration,Business Planning, Client Care, and Client Services teams as needed
  • Participate in ongoing technical training and professional skills development
  • Troubleshoot drafting-related issues encountered by staff
  • Maintain and update document production forms,procedures, and systems
  • Assist in training new attorneys and staff members on internal firm systems
  • Complete all other projects assigned by attorneys and Office Manager
Job Skills
  • Understanding of general office procedures,practices, and basic office equipment
  • Proficiency with Windows-based computer systems,including MS Word, MS Excel, Outlook, and Internet research
  • Ability to manage multiple calendars and schedules
  • Experience with legal database/client management software preferred but not required
  • Strong multi-tasking, prioritization, and organizational skills
  • Exceptional verbal and written communication skills
  • High level of accuracy and attention to detail;capable of extensive close work
  • Keyboarding ability of 40–50 wpm
  • Ability to manage a multi-line phone system
Education and/or Experience
  • Minimum 2–3 years practical experience drafting estate planning documents, including wills, trusts, and powers of attorney, or experience in probate, estate, and trust administration
  • Minimum B.S./B.A. degree, or Associate’s degree with legal assistant/paralegal certification
