Job Overview
As an Assistant General Manager, no two days are the same. You are responsible for the day‑to‑day servicing of the Association and homeowners by providing exceptional service through project management and operational oversight for the multi‑million‑dollar corporation. Through effective multi‑tasking, you will develop staff, maintain constructive relationships with Boards, and ensure the continuity and profitability of the relationship with First Service.
Compensation$75,000–$85,000 annually, commensurate with experience, education, and certifications. The salary may be modified in the future.
Your Responsibilities- The job duties listed are typical examples of the work performed by positions in this classification.
- Serve as the primary point person for the Management Company and board on all association matters.
- Work proactively to limit complaints and issues; promptly mediate and resolve problems when they arise.
- Assist in long‑term planning by presenting ideas, recommendations, and best practices to the Board.
- Directly oversee onsite staff.
- Work directly with the Board President to keep the Board current in operations and facilitate communication between the board and owners.
- Create and distribute board packets for scheduled meetings by the Friday before each meeting.
- Monitor unit count to ensure proper assessment and fee application.
- Update and monitor user count reports, including the email authorization list.
- Coordinate information and communication with the master association, country club, and other sub‑associations.
- Monitor all financial aspects of the association.
- Submit and approve invoices, check requests, etc. for vendors on a weekly basis for board approval.
- Submit monthly reports for cash transactions related to the point‑of‑sale system; process cash deposits weekly.
- Review monthly financial statements and submit reports to the Board and finance committee.
- Create an annual draft budget for the finance committee.
- Oversee the reserve study process to ensure accuracy and completeness.
- Use the association’s communication channels (website, emails, Facebook, printed materials) effectively.
- Ensure event and program information is captured for newsletters and website updates.
- Ensure flyers around the Clubhouse are current and updated regularly.
- Maintain the association website with event registration and up‑to‑date information.
- Create and send association‑specific emails as needed.
- Provide mailing lists and electronic lists for newsletters and other communications.
- Handle onsite HR matters in compliance with laws and HR support.
- Oversee hiring and training of all employees.
- Monitor, verify, and submit payroll, including reconciliation.
- Attend required training.
- Perform other duties as assigned by the Vice President or General Manager.
- CPR and AED Red Cross certification preferred.
- Certified pool operator (if applicable).
- Strong communication, customer service, and interpersonal skills.
- Working knowledge of Adobe programs.
- Ability to acquire and maintain knowledge of state statutes, association CC&Rs, and Rules and Regulations.
- Willingness to work evenings, weekends, and holidays as required.
- College degree; experience managing 5+ employees for at least 2 years.
- NRED full Community Manager License.
- Five or more years of professional experience with common interest communities.
- Involves sitting, standing, and movement throughout the day.
- May require stooping, bending, lifting, pushing, or pulling objects up to 45 lbs several times a day.
- Work may be performed indoors and outdoors; exposure to weather conditions may occur.
- Must be able to drive and possess a valid driver’s license.
