Regulatory Compliance Specialist
Safety Administrator
The Safety Administrator will support the Safety Department in the administration and coordination of safety programs and policies to ensure compliance with local, state, and federal regulations, including OSHA and DOT standards. The role involves managing safety documentation, assisting in training coordination, tracking incidents, and supporting safety initiatives across the organization.
Key responsibilities include:
- Assist in maintaining and updating safety policies, procedures, and programs.
- Coordinate safety meetings, briefings, and training sessions for employees.
- Assist in the development and distribution of safety communications, bulletins, and updates.
- Support the Safety Manager and other personnel with administrative duties related to safety initiatives.
- Maintain safety-related records, including training records, certifications, incident reports, and inspection records.
- Track and monitor safety statistics and provide regular reports to management.
- Ensure accurate and timely reporting of incidents, near misses, and safety inspections.
- Organize and manage all safety documentation to ensure compliance with OSHA and DOT standards.
- Assist in tracking and reporting workplace incidents and near misses.
- Monitor the follow-up and resolution of corrective actions from incidents, inspections, and audits.
- Assist with safety inspections and audits, ensuring findings are documented and addressed.
- Support the scheduling and coordination of safety training sessions.
- Track employee participation in safety training and ensure compliance with required certifications.
- Assist in maintaining up-to-date training materials and records for safety programs.
- Assist in ensuring that all safety practices comply with OSHA, DOT, and other relevant regulations.
- Stay updated on changes in safety regulations and industry standards.
Qualifications include:
- High school diploma or equivalent required.
- Associate's or Bachelor's degree in a related field preferred.
- 2+ years of experience in a safety administration or similar role, preferably within the construction industry.
- Familiarity with OSHA, DOT, and other safety regulations and compliance requirements.
- Experience in managing safety documentation and supporting safety training initiatives is a plus.
- OSHA 10 or OSHA 30 certification preferred.
- Will get w/in 30 days - First Aid/CPR certification preferred. Will get w/in 30 days
- Additional safety certifications (e.g., CHST - Construction Health and Safety Technician) are an advantage.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and safety management software.
- Excellent organizational skills with attention to detail.
- Strong communication skills, both verbal and written.
- Ability to multitask and prioritize in a fast-paced environment.
- Basic knowledge of safety protocols and incident reporting systems.
Physical demands include:
- Sit for extended periods of time
- Use hands and fingers to operate a computer, keyboard, mouse, and other office equipment
- Communicate effectively in person, by phone, and electronically
- Stand and walk occasionally throughout the workday
- Reach with hands and arms
- Occasionally lift and/or move items up to 20 pounds (e.g., files, office supplies, equipment)
- Read printed documents and view information on computer screens
