The Administrative Assistant 3 will administer and coordinate UPD's records management and property/evidence functions. This role is responsible for the accurate receipt, logging, classification, filing retention, and secure storage of official records, as well as coordinating and overseeing the documentation, tracking and handling of property and evidence.
The position ensures the integrity, accuracy and confidentiality of all records and evidence in compliance with applicable laws, regulations, and departmental policies and procedures, independently applying and interpreting requirements to ensure compliance. Duties include maintaining organized record systems, monitoring chain of custody documentation, supporting audits, and coordinating and facilitating the timely retrieval and release of records and evidence as authorized.
This role requires strong organizational skills, attention to detail and the ability to handle sensitive information with discretion while maintaining strict confidential standards, as well as the ability to exercise independent judgment in applying policies and legal requirements to specific situations. This position has a direct impact on the integrity, legal compliance, and admissibility of evidence and public records, ensuring the department meets statutory requirements and supports successful criminal justice outcomes.
Errors in judgment or processing could result in compromised investigations, legal liability, or loss of public trust.
The department is a full-service police department comprising patrol operations, administration, police dispatch and a detective division. Services include a canine program, walking and bicycle patrols, and a pro-active, selective traffic enforcement program and takes a leadership role in preparing the University to respond to large-scale crises and events. The patrol area for UPD encompasses all Nevada System of Higher Education facilities in the Las Vegas Metropolitan area.

MINIMUM QUALIFICATIONSGraduation from high school or equivalent education and three years of progressively responsible relevant work experience which includes experience in one or more of the following areas:
- Maintenance of complex records and files
- Public/customer relations, including explaining detailed policies, regulations, and requirements
- Preparation and processing of financial and statistical documents such as payroll, travel, claims, and budgeting forms
- Assisting staff and management with projects and activities
OR one year of experience as an Administrative Assistant II in Nevada State service
OR an equivalent combination of education and experience as described above
Preferred QualificationsExperience supporting law enforcement or public safety operations
Experience in property and evidence management
Experience in police records or criminal justice records management
Experience with video and/or audio redaction
Experience handling public records requests involving confidential or criminal justice information
