The Employee Experience Coordinator – Onboarding & Talent Acquisition team member will lead the end-to-end onboarding experience for newly hired team members, ensuring a welcoming, compliant, and role-ready transition from offer acceptance through the first 90 days of employment. This role designs and delivers a consistent, inclusive onboarding journey that builds connection, clarity, and confidence for new team members while enabling managers and teams to support successful ramp-up.
The role also collects and analyzes new hire feedback, monitors onboarding health metrics, identifies experience gaps, and drives continuous improvements across communications, tools, and stakeholder processes to enhance engagement and retention.
This position also supports full-cycle talent acquisition for assigned requisitions to ensure a steady pipeline and timely hiring. Responsibilities may include sourcing, resume screening, candidate communication, coordinating and/or participating in interviews, offer support, and accurate candidate/new hire recordkeeping.
Onboarding- Develop, update, and maintain onboarding and materials, presentations, guides, and resource hubs to support new hires and managers.
- Own and continuously improve the new hire employee experience, ensuring onboarding is welcoming, inclusive, and consistent across roles, programs, and locations.
- Design and maintain a structured onboarding journey from offer acceptance through early tenure (e.g., first 30–90 days), with clear milestones and expectations.
- Proactively identify and resolve onboarding friction points that impact engagement, confidence, or readiness.
- Collect, analyze, and act on new hire feedback (e.g., surveys, check-ins, issue trends) to drive data-informed improvements to onboarding processes, communications, and materials.
- Deliver or support orientation sessions (group or individual), ensuring accurate, role appropriate, and engaging content.
- Assign, track, and monitor required training and compliance activities, ensuring timely completion and escalation of issues as needed.
- Partner closely with IT, hiring managers, program leadership, and HR colleagues to ensure day one readiness and smooth handoffs throughout the onboarding process.
- Provide tools, templates, and guidance to help managers deliver consistent and effective onboarding experience.
- Partner with managers to support connection, belonging, and role clarity, including guidance on welcome practices, early check ins, and onboarding expectations.
- Manage preboarding activities to ensure new hires are prepared prior to Day One and reduce first day barriers.
- Process new hire paperwork with newly hired team members, ensuring that all paperwork including credentialing, CAQH, NPI, payroll training, demographic and all other required paperwork is completed.
- Sets new hires up in LMS, and all applicable EHR Systems and adds credentials to EHR as appropriate applicable People Assist and/or inquiries within departmental time frames.
- Develop and support training such as annual refresher training and tests to measure progress and evaluate effectiveness.
- Actively supports talent acquisition at all levels by sourcing candidates and screening incoming applications and resumes, networking, referrals, career fairs, colleges/universities, EM Open Houses/Job Fairs, warm calling and any other creative tactics relevant to achieving key staffing objectives outlined.
- Provides a high level of customer service and effectively guides EM Hiring Managers through the selection and hiring process. Ensure that timely follow-up is maintained during all steps in the acquisition process. Works with the Talent Acquisition Manager and Hiring Manager to identify and highlight for candidates the value proposition associated with EM and the specific position being sourced.
- Develops and maintains positive and productive relationships with candidates and hiring managers, ensuring their successful navigation of the EM interview and hiring process. Provides information as needed and answers questions within 1 business day.
