Waynesboro:
Managing the administrative tasks associated with patient check-in and scheduling in a sports medicine or orthopedic clinic.
Greeting and welcoming:
Serve as the initial point of contact for patients and their families, offering a friendly and professional welcome in person and over the phone.
- Answering phone calls:
Handle high volumes of incoming calls, answer patient questions, take messages, and direct calls to the appropriate department. - Scheduling appointments:
Book, confirm, and reschedule patient appointments with physicians, therapists, and other specialists to optimize the clinic's schedule. - Patient communication:
Remind patients of upcoming appointments, inform them of any delays, and provide instructions for their visit or procedure. - Managing patient flow:
Monitor waiting areas and coordinate with clinical staff to ensure a smooth and efficient patient flow.
- Patient intake:
Accurately collect and enter patient demographic information, medical history, and contact details into the electronic health record (EHR) system. - Insurance verification:
Verify patients' insurance coverage, including eligibility and benefits, and confirm that all necessary authorizations and referrals are obtained. - Patient forms:
Ensure all required forms, such as consent forms and privacy notices (HIPAA), are completed, signed, and correctly filed. - Maintaining medical records:
Adhere to strict confidentiality and privacy regulations when handling and processing medical records.
- Payment collection:
Calculate and collect payments from patients at the time of service, including co-pays, co-insurance, and deductibles. - Cash handling:
Maintain and balance a cash drawer according to office procedures.
- Communicate to patients their financial responsibilities and, when necessary, provide information on financial assistance or payment plan options.
- Work with the billing department to ensure accurate billing and resolve any discrepancies.
- Office organization:
Maintain a clean and organized work area and assist with general office tasks like scanning documents and managing inventory. - Support for clinical staff:
