Mission
Under the supervision of the Head of Infrastructure of the School of Engineering (STI), you will support the coordination of infrastructure activities, with a focus on lab installation requests, space measurements, onboarding of new research groups, and follow-up of small construction or relocation tasks.
Your role is essential to ensuring smooth operations across the faculty by providing meticulous, reliable, and service-oriented support.
Main Duties And Responsibilities- Process lab installation requests: collect missing information, verify technical needs, prepare templates and checklists.
- Conduct basic space measurements (m², furniture footprint, access points) and prepare simple layout sketches.
- Prepare documents for small renovation or modification works (plans, descriptions, photos).
- Follow up with internal stakeholders (DSE, technical services, users) to ensure tasks progress.
- Coordinate moves, space & access: collect needs, coordinate dates, update layouts.
- Manage furniture requests, deliveries, and installation follow-up.
- Prepare and update space allocation records in STI-IN tools.
- Manage access rights to buildings, labs, and shared facilities (collect information, submit requests, track status).
- Onboarding Support for New Professors & Groups: assist in preparing onboarding packages; coordinate initial lab setup needs (first equipment, access, signage, room allocation); document and track all actions to ensure a smooth integration.
- Daily Operations & Follow-Up:
Manage small infrastructure requests in collaboration with technical teams; maintain updated internal documentation, signage, and shared material; support inventory updates (scientific equipment, signage, furniture); draft meeting minutes and summarize decisions.
- Bachelor in architecture, construction, facility management, engineering, or equivalent; or CFC/ technical diploma
- 2–4 years of experience in a coordination, project assistant, or technical administrative role (construction, facility management, lab support, or engineering environment is a plus).
- Excellent organization, ability to prioritize, and strong attention to detail.
- Service-oriented mindset, proactive, reliable, and calm under pressure.
- Comfortable with technical discussions (ventilation, electrical needs, layouts), even at a basic level.
- Proficient with IT tools (Excel, SharePoint, project trackers).
- Fluent in French and English.
