Your new role
As Property Administrator, you will play a key role in supporting the day-to-day operations of a portfolio of retail properties. You will be responsible for providing administrative, financial, and tenant-related support to ensure the efficient management of the assets and delivery of best-in-class service.
Key Responsibilities
- Provide administrative support to the property management team across a retail portfolio
- Review monthly rent rolls and pre-authorized debit reports
- Perform accounts receivable reporting, including deposits, reconciliations, and commentary
- Prepare and process purchase orders and accounts payable invoices
- Manage tenant chargebacks, including preparation, collection, and processing
- Track utilities, oversee billing, and support ESG reporting initiatives
- Prepare tenant statements, account reconciliations, and issue refunds as required
- Issue tenant notices (demand, default, termination) and prepare communication letters
- Assist with monthly and annual budgeting processes
- Monitor tenant insurance certificates and sales reporting compliance
- Coordinate tenant move-ins and move-outs, ensuring documentation is complete
- Liaise with operations teams to coordinate maintenance and service requests
- Collaborate with property accountants, lease administrators, and legal teams
- Maintain ongoing tenant communication and provide general customer service support
- Support additional projects and administrative initiatives as required
What you'll need to succeed
The ideal candidate will bring 1–3 years of administrative experience, preferably within property management (residential, commercial, or retail). You will have a solid understanding of basic accounting principles, along with strong attention to detail and the ability to manage multiple priorities in a deadline-driven environment.
You are a customer-focused professional with excellent communication skills and a proactive approach to problem-solving. Strong organizational skills are essential, along with proficiency in Microsoft Office. Are Bilingual (EN/FR)
