Position Summary
The position (K0214015) is a full‑time administrative role in the Kansas Department of Health and Environment (KDHE). Responsibilities include purchasing goods for the Bureau, preparing purchase orders, maintaining documentation, and handling Staples orders. The role also supports the Cancer Program and the Substance Use Disorder Program by scheduling meetings, taking minutes, entering data for CDC grant compliance, and providing general program assistance.
Responsibilities- Handle purchasing of goods for the Bureau under the direction of the Administrative Section Director.
- Maintain knowledge of KDHE/State Purchasing Guidelines, adhere to them, and communicate changes to supervisors.
- Obtain estimates from vendors and create purchase orders and estimate sheets with accurate information.
- Maintain documentation related to purchases, invoices, vouchers, and store them in an organized manner.
- Process Staples orders: gather information, conduct inventory checks, manage funding, complete paperwork, monitor status, and distribute items.
- Prepare technical materials for grant applications, contracts, vouchers, and requisitions, and maintain records on office activities.
- Support the Cancer Program and Substance Use Disorder Program: reserve meeting rooms, set up Teams/Zoom calls, take and distribute minutes within two days, enter and proofread data, and assist with grant compliance.
- Respond to phone calls, greet customers, monitor security cameras, and address visitor notifications.
- Assist with travel arrangements, filing, follow‑up, and travel-related reports for bureau staff.
- Education: High School or GED.
- Licensing & Certification: Valid driver’s license required for operating a state vehicle.
- Minimum Qualifications: Two years of general office, clerical, and administrative support work, or education that is equivalent.
- Preferred Qualifications:
- Bachelor’s degree in business, office education, or a public health related field.
- Proficiency in Word, Excel, PowerPoint, and Access.
- Strong proofreading, editing, and attention to detail skills.
- Effective oral and written communication abilities.
- Ability to relate to a variety of people.
- Knowledge of chronic disease prevention issues.
- Knowledge of corporate wellness and disease management fields.
- Understanding of measures available for the prevention of premature disabilities.
- Experience preparing grant proposals, reports, and other written documents.
- Experience developing documents and presentations for professionals in the workplace.
- Post‑Offer, Pre‑Employment Requirements: Obtain a valid Kansas Tax Clearance Certificate within ten days of the job offer.
