Job Summary
Under limited supervision, performs activities that support the Nursing and Medical Assistant Programs, including management and coordination for student advising and the application process.
Responsibilities- General Office Support: manage emails and physical mail; maintain correspondence, answer and direct phone calls, perform data entry, schedule courses, document and organize spreadsheets; coordinate equipment, signage, supplies; inventory; maintain facilities; facilitate key requests; schedule nursing/health science courses; monitor purchasing and budget transactions; update documents and web pages; generate surveys; manage contracts and agreements; maintain program statistics; promote customer satisfaction; purge and shred outdated materials;
maintain confidential historical documents. - Student Support: advise students, meet and coordinate with prospective students, manage prospective applicants for admission; process and verify application information; utilize college systems to obtain student transcripts; monitor completion of degree requirements; monitor nursing student academic progress and participate in group advising; communicate with students; maintain student records; organize nursing student orientation; coordinate onboarding; collect documentation; schedule department tours; assist with scholarship coordination;
arrange for testing; support club activities. - Faculty Support: prepare agendas and minutes; organize electronic files; load and monitor documents; order and maintain teaching supplies and equipment; proctor exams; post and maintain program materials; assist with professional development; manage student testing software; coordinate room scheduling; assist with faculty orientation; communicate student needs; support special projects; procure teaching materials.
- Administrative Support: record and track student information and statistics for program reporting and marketing; work with Admissions and Records offices; attend department meetings; take and distribute meeting minutes; assist with preparation of reports for state and national agencies; compile data for accreditation; assist with special projects; support recruitment; organize pinning ceremonies.
- Associate degree preferred.
- Prior healthcare‑related experience preferred.
- Maintain strict confidentiality.
- Communicate effectively orally and in writing.
- Work with a diverse student population in a community college environment.
- Analyze and solve problems.
- Demonstrate strong computer operations and applications.
- Adhere to college policies and procedures.
- Work as a team member and foster a cooperative work environment.
- Coordinate with Nursing Program faculty and staff and other college departments.
- Demonstrate strong organizational and composition skills.
- Proficiency with Windows, Microsoft Office, Adobe Acrobat, Zoom, Survey Monkey, Canvas, Google Docs, Perceptive Content, Datatel/Colleague, CROA, portal software, Castle Branch.
Physical Requirements
Must be able to perform the functions and responsibilities of the position. The position requires occasional lifting of supplies.
