Student Hourly Desk Assistant - Office of the Provost Position Overview

Student Assistants provide customer service, reception, and administrative support while helping maintain a professional and welcoming office environment. The Provost Office Student Assistant serves as the first point of contact for visitors, faculty, staff, students, and university partners entering the Provost Office. Through their work, student employees gain hands‑on exposure to administrative operations, project coordination, communications, event planning, and executive‑level support.

This position requires availability to work outside normal office hours (8:00 AM - 5:00 PM) for department-hosted special events. The ideal candidate will have a good knowledge of the KU Campus and will have the availability to work at least two hours per shift and to work over break and the summer periods.

The anticipated start date for this position is at the selected candidate's earliest availability, preferably no later than Monday, 9/14/2026.

Job Description
70% - Reception & Customer Service
  • Greet and assist visitors, faculty, staff, students, and guests.
  • Answer, screen, and route phone calls and inquiries.
  • Provide information and direct visitors to appropriate offices or personnel.
  • Maintain a welcoming, professional front desk environment.
  • Assist with guest hospitality and meeting support as needed.
20% - Administrative Support
  • Perform general clerical duties including filing, scanning, copying, data entry, document preparation, and mail distribution.
  • Assist with labels, mail merges, table tents, and other office materials.
  • Monitor and support conference room readiness.
  • Assist with supply inventory and office organization.
10% - Projects & Operational Support
  • Assist staff with special projects and assignments.
  • Assist with mail, deliveries, guest parking processes, and other operational tasks.
  • Complete additional duties as assigned in support of the office's mission and operations.
Required Qualifications
  • Experience that required the use of Microsoft suite software (Outlook, Word, Excel, One Note), as evidenced by application materials.
  • At least one year of previous office or customer service experience, as evidenced by application materials.
  • Availability to work outside normal office hours (8:00 AM - 5:00 PM) for department-hosted special events, as evidenced by application materials.
Preferred Qualifications
  • Excellent communication skills, as evidenced by application materials.
  • Work or volunteer experience that required discretion during internal and external interaction, as evidenced by application materials.
  • Experience and familiarity with Adobe Creative Suite products, including Photoshop, InDesign, Illustrator, Premier and After Effects, as evidenced by application materials.
  • Experience with social media platforms and organization post creation, as evidenced by application materials.
  • Experience creating video content, including script concepts, shooting and video editing, as evidenced by application materials.
  • Experience writing news releases, announcements and briefs for an external audience, as evidenced by application materials.
Position Requirements

During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre‑enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester.

Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions

(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non‑exempt position. A student employee cannot hold an hourly/non‑exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
