Description
We are seeking a Medical Staff Coordinator to provide high-level, confidential administrative support to the Director of Patient Care and other assigned directors, clinical staff, and programs. This person in this role oversees day-to-day administrative functions that support the effective operation of clinical services.
The Medical Staff Coordinator plays a key role in scheduling, documentation, communication, and coordination across psychotherapy, psychological testing, and psychopharmacology services, while maintaining strict confidentiality and flexibility in responding to staff and patient needs.
Key Responsibilities- Provide administrative support to the Director of Patient Care, including maintaining time away and doctor on call schedules and coverage, clinical meeting and case conference schedules, meeting minutes, correspondence, transcription, performance evaluation data and other confidential records.
- Support the Psychological Testing Service and Psychopharmacology and Medical Services.
- Coordinate and manage clinical visitors, including approval processes, visitor schedules, confidentiality documentation, and proper handling and disposal of clinical materials.
- Create and maintain spreadsheets and tracking tools to support data organization and operational needs.
- Ensure adequate supplies for clinical practices and make orders using a company-assigned credit card and reconcile purchases according to Business Office procedures.
- Interface with IT and the Business Office to support optimal daily operations of the Center.
- Respond to staff and patient needs with professionalism, discretion, and flexibility.
- Perform additional assigned duties and projects to support daily Center operations.

- Associate’s degree in business related field. Bachelors preferred
- 3-5 Years experience in an office environment, preferably in the medical field
- Excellent communication skills both written and verbal
- Proficient in Microsoft Office products including Outlook, Word and Excel.
- Prior experience with Electronic Health Records systems or other databases a plus.
- Ability to manage multiple priorities, meet deadlines and anticipate needs
- Comfortable supporting various projects and adjusting to changing priorities
