We are growing and looking for a detail‑oriented Office Coordinator to support daily operations.

Position Overview

The Office Coordinator plays a key role in supporting administrative operations, scheduling, customer communication, and program coordination. This is an on‑site role that requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment.

Key Responsibilities Administrative & Operations Support
  • Manage incoming calls, emails, and customer inquiries
  • Support daily office operations and administrative tasks
  • Maintain organized documentation and customer records
Program Coordination & Scheduling
  • Weatherization scheduling and coordination
  • Intake processing and client onboarding
  • Assist with Eplus program coordination
  • Track and update project timelines and status
Permitting & Documentation
  • Assist with permits and required documentation
  • Ensure files are complete and compliant
  • Support invoicing preparation and documentation review
Inventory & Office Support
  • Assist with inventory tracking and ordering
  • Coordinate office supplies and operational needs
Customer Communication
  • Communicate with clients regarding appointments and updates
  • Provide professional customer service and follow‑ups
Qualifications
  • Strong organizational and multitasking skills
  • Excellent communication and customer service skills
  • Basic to intermediate Microsoft Excel experience
  • Ability to work in a fast‑paced environment
  • Bilingual English/Spanish preferred
  • Salesforce or CRM experience preferred
